Job summary

A lighting solutions company located in Johannesburg is seeking a proactive and detail-oriented Sales Administrator. The successful candidate will be the liaison between Production and the Internal Sales Team, responsible for updating production schedules, handling orders, and ensuring timely dispatch. Candidates should have at least 3 years' administrative experience, proficiency in Excel, and be adaptable in a fast-paced environment. Experience with Sage Evolution is preferred, and knowledge of the lighting industry is a plus.

Qualifications

  • Minimum of 3 years' experience in an administrative role.
  • Experience working with Sage Evolution or similar accounting software.
  • Proficient in Microsoft Excel.
  • Working knowledge of the lighting industry will get preference.
  • Ability to work independently and meet deadlines.
  • High level of accuracy, reliability, and integrity.
  • Ability to perform under pressure in a fast-paced environment.
  • Strong work ethic and accountability.

Responsibilities

  • Attend Production meetings and provide feedback to sales.
  • Update due date and delivery dates scheduled by production.
  • Follow up on pending orders and escalate issues causing delays.
  • Prepare Daily Overdue Report for orders.
  • Process Maintenance Call Orders.
  • Handle Inter-Branch Transfers.
  • Follow up on orders requested by Sales Reps.
  • Interact with the dispatch department to ensure timely dispatch.
  • Follow up with Procurement to ensure stock is available.
  • Assist on Switchboard.
  • Communicate business-related issues to manager.

Skills

3 years' experience in an administrative role
Experience with Sage Evolution or similar software
Proficient in Microsoft Excel
Knowledge of the lighting industry

the successful candidate will also assist with certain administrative functions related to the position.

Key Responsibilities
  • Attend Production meetings and provide feedback to sales
  • Update due date and delivery dates scheduled by production on Sage Evolution
  • Follow up on pending orders and escalate issues causing scheduling delays.
  • Daily Overdue Report for orders that did not meet delivery date
  • Processing Maintenance Call Orders
  • Processing of Inter-Branch Transfers.
  • Follow up on orders requested by Sales Reps and Internal Sales
  • Interact with the dispatch department to ensure that orders are dispatched timeously.
  • Follow up with Procurement / Stock to ensure that stock is manufactured for invoicing purposes.
  • Assisting on Switchboard.
  • Communicating any business-related issues and concerns to manager.
  • Any other reasonable request from manager
