Job description
Purpose of Role

Ensure effective project management that enables delivery from start to end, whilst maintaining optimal relationships with clients and learners thereby ensuring ongoing business.

Key Performance Objectives

Build and maintain healthy relationships with core business customers assigned to the portfolio, thereby ensuring ongoing business.

Efficiently project manage all assigned projects from start to end to ensure quality delivery within the agreed timelines.

Ensure that learning facilitation takes place and that all requirements are in place to manage effective delivery.

Ensure that all learner's evidence portfolios are completed on time to the appropriate quality standard.

All learners' portfolios are assessed on time and meet the unit standard requirements in order to ensure certification.

Ensuring that project coordinators contact learners on a regular basis and follow up on their commitments.

Responsibilities

Client Liaison: Customers are satisfied with the project roll‑out and delivery.

Measure customer satisfaction during and post the project.

Hold monthly status meetings with clients and deliver a monthly status report to the clients and Ops Manager.

Identify possible project risks, communicate, and manage risk proactively to ensure that the project is not derailed.

Identify possible upsell opportunities and liaise with the sales team to trigger cross‑sell and upsell.

Communicate with learners regularly to keep them informed of client expectations and to address possible concerns.

Keep the client informed of issues.

Understand the client's expectation in terms of delivery from the learners, track performance and communicate progress to the client.

Manage any issues or concerns.

Project Management: Project Planning, Implementation and Control.

Formulate project plans and involve the necessary role players.

Ensure effective resource allocation.

Ensure roll‑out plan & learning program timetables are implemented according to schedule.

Any authorized changes are made and communicated to all stakeholders involved.

Ensure that logistical requirements of the project are met.

Anticipate and recognize problems, assess alternatives and recommend solutions.

Manage engagement performance versus work plan and budget in areas of responsibility.

Report on project status and progress to the Operations Manager on a weekly basis.

Ensure that project files are maintained according to set standards and that the files contain project checklists which are to be updated real time as delivery occurs.

Project Closure and Evaluation: Prepare close‑out report and conduct close‑out meetings with clients which should include debriefing in order to ensure continuous improvement.

Ensure that project documents are filed, cleaned up and archived, either physically or electronically.

Learning Facilitation – Training Administration

Ensure that training and learner materials loaded on the portal are checked a week before training starts.

Facilitator packs are prepared.

Flights, accommodation, car hire & venues are booked.

Facilitation: Ensure that facilitators are prepared for and facilitate the learning program as stipulated in Project Schedules.

Ensure that quality standards are met and that the relevant policies and processes are adhered to.

Manage the classroom and facilities professionally at all times.

Protect company's intellectual and physical property and assets.

Evidence Gathering & POE Administration

Ensure that learner PoE's are created and kept up to date, if done manually.

Learner evidence is assessed according to the schedule.

Receipt and dispatch of learner PoE's are tracked, if done manually.

Ensure that evidence collection takes place within the agreed timelines.

Assessment

Assessments will be carried out as and when necessary, in the correct manner and format as required by the company and Seta ETQA standards, policies and procedures.

Assessments will be completed within the specified timeframes given by management.

Feedback is given to learners as per ETQA requirements.

Moderation

If the Project Manager is an assessor or moderator, then he/she will be expected to perform moderation duties from time to time, in line with the company and Seta ETQA standards, policies and procedures.

Skills, Experience and General Requirements

General: Team‑player, self‑disciplined and motivated, positive attitude, able to perform under pressure, willingness to multi‑task, service‑oriented, assist with additional tasks not related to job description, requested by Operations Manager.

Specialized: Deciding & initiating action, working well with people, customer centricity, good written & verbal communication skills.

Formal Learning experience and requirements: Must have successfully completed ODETDP, Registered Assessor and Moderator, 5+ years' experience in project management.

The Project Manager reports directly to Operations Manager.
