Job Advertisement: Programme & Operations Administrator

Thuma Mina Teaching (TMT) is looking for a dynamic Programme & Operations Administrator with a genuine passion for education to join our team! This full-time, hybrid position requires the candidate to be physically present at our Wellington office up to three times per week, with the flexibility to work from home for the remaining time.

Post duration: 1 March 2026 – 31 December 2026, with the likelihood of an extension

Salary range: R12,000 - R15,000 per month (dependent on experience and agreed hours)

Hours: Negotiable, 30–40 hours per week.

Role Purpose

The Programme & Operations Administrator provides essential administrative and operational support across Thuma Mina Teaching’s programmes, with a strong focus on teacher training administration, monitoring and evaluation (M&E) support, and content and digital administration.

The role works closely with the Chief Operating Officer and Project Manager to ensure that training sessions, programme logistics, data collection, and digital content processes run smoothly and efficiently. This role is suited to a highly organised administrator who enjoys supporting education programmes, coordinating training logistics, and working with data and digital tools in a small, mission-driven team.

Programme & Teacher Training Administration
  • Coordinate and administer teacher training programmes end-to-end, including registrations, attendance tracking, documentation, and all communication with participating teachers.
  • Manage training logistics and delivery support, including preparation of materials, supplier coordination, and on-site administrative support during training sessions when needed.
  • Maintain and update training resources and programme documentation, ensuring materials are accurate, organised, and aligned with programme requirements, while providing general administrative support across programmes as needed.
Programme Data, Feedback & Reporting Support
  • Set up, distribute, and manage post-training feedback forms and follow-up surveys.
  • Track responses, send reminders, and follow up with participants to improve completion rates.
  • Support the Project Manager with basic data administration, record-keeping, and preparation of summary information for reporting purposes.
Content, Digital & Platform Administration
  • Upload, organise, and manage video content on YouTube, Moodle and other digital platforms.
  • Assist with digital content administration, including creating thumbnails, custom links, and basic Canva assets.
  • Support basic public-facing communications, including social media posts and updates.
General Operations & Office Administration
  • Support communication with teachers via WhatsApp groups and other approved channels.
  • Manage and respond to routine emails during a designated daily time block, escalating non-routine queries to senior staff.
  • Assist with the setup of Canva presentations and other operational materials as needed.
Skills/Requirements
  • Excellent administrative skills with the ability to plan effectively and take initiative in problem-solving.
  • Proficiency in Microsoft Excel and Word, as well as Google Workspace (including Google Sheets, Forms, and Docs), with the ability to use Canva to create basic infographics and social media posters.
  • Fluency in English is required, and fluency in a second South African language is beneficial.
  • A friendly and effective communicator, able to engage with various stakeholders.
  • Excellent attention to detail and ability to manage multiple tasks.
  • An efficient and organised individual with a genuine passion for advancing education in South Africa.
  • Ability to follow processes and meet deadlines.

Recommended
  • An undergraduate degree, preferably in education.

  • 1+ years of experience as a teacher.
  • Fluency in a second South African language (Afrikaans, isiXhosa, isiZulu, etc.).
  • Ideally suited to someone comfortable in a hybrid role, combining remote work with 2–3 in‑office days per week in Wellington.
