Overview
Job Title: Officer (post level 11) (Job ID 6333). Organizational Unit: University of the Free State -> Faculty of Economic and Management Sciences -> Department Industrial Psychology. Location: Bloemfontein Campus - Bloemfontein, FS ZA (Primary). Contract Type: Permanent. Occupational Level: Semi-Skilled. Closing Date: 26 January 2026.
Duties and responsibilities
- Administer academic processes in line with faculty and institutional regulations.
- Lead and coordinate the processing of postgraduate applications, ensuring compliance and accurate record-keeping.
- Coordinate the student registration and graduation processes, in liaison with the Faculty Office.
- Responsible for handling student curriculum queries.
- Coordinate the appointment of markers, in collaboration with the module lectures.
- Handle test and examination administration, which includes booking of test venues, and appointment of test invigilators.
- Capture and verify assessment marks, compile reports, and prepare documentation for Faculty Examination Boards.
- Maintain accurate student data on institutional systems.
- Serve as the first point of contact for student queries and curriculum advice.
- Manage the departmental teaching timetabling in coordination with the Faculty Teaching and Learning Office.
- Provide administrative support for key departmental meetings and committees, including agenda preparation, minute-taking, and follow-up.
- Maintain central academic administrative documentation and filing systems.
- Liaise with Faculty and institutional support units to ensure compliance with administrative and academic procedures.
- Support departmental data collection and reporting processes.
- Participate in faculty marketing and recruitment activities, including open days and postgraduate information sessions.
- Assist in the preparation of departmental academic materials for promotional events.
- Support departmental quality assurance and audit preparation through accurate academic recordkeeping.
- Maintain academic administrative documentation for programme reviews and reports.
- Identify opportunities for process improvements in consultation with the Faculty Office.
Inherent requirements
- Bachelor’s degree on NQF Level 7 in one of the Faculty of Economic and Management Sciences disciplines.
- A minimum of two (2) years of relevant work experience in a higher education environment, related to the duties and responsibilities.
Recommendations
- An Honours degree on NQF Level 8 in one of the Faculty of Economic and Management Sciences disciplines.
- Knowledge of MS Word, Access, Outlook, Excel, PeopleSoft, SharePoint, RIMS, and Blackboard.
- Knowledge of the Faculty’s curricula, Faculty and UFS General Rules.
- A sound knowledge of the Acts that impact the Higher Education sector.
- Knowledge of university systems, policies, and procedures.

Salary
The annual remuneration package, including benefits is R 447,323.31– R 562,750.48 per annum, depending on the budget available for the position, relevant work experience and qualifications.
