Job description

A well-established Psychology Practice based in Claremont, Cape Town is looking for a competent Medical Administrator / Receptionist to join their dynamic team. The ideal starting date is 1 September 2025.

The ideal candidate is organised, experienced, and adaptable, with at least 3 years’ medical reception and admin experience . This is a busy, fast-paced environment supporting 18 psychologists and 3 psychometrists , and requires someone who thrives under pressure and brings a strong “I can do it” attitude.

Responsibilities include :

  • Managing online appointment bookings for all practitioners
  • Handling client queries via phone, WhatsApp, and email
  • Welcoming clients and processing payments (EFT, card, cash, secure links)
  • Managing new client intakes and setting up files
  • Submitting medical reports electronically
  • Drafting attendance letters and medical reports
  • General office support and ad hoc tasks from practitioners
  • Filing and credit control duties
  • Maintaining a clean and organised reception and waiting area
  • Ensuring office supplies and stationery are in order

Requirements :

  • A self-starter who works well independently and in a team
  • Excellent communication skills in English (spoken and written)
  • Proficient in MS Word, Excel, Outlook, and medical software (Elixir advantageous)
  • Strong multitasking skills with good prioritisation
  • Able to stay calm and focused in a high-pressure environment
  • Working Hours :

  • Tuesday & Friday : 08 : 00 – 17 : 00 (1-hour lunch)
  • Wednesday & Thursday : 10 : 00 – 19 : 00 (1-hour lunch)
  • Saturday : 08 : 00 – 17 : 00 (no lunch break, based on bookings)
  • Days off : Sunday & Monday
  • Public holidays : Ad hoc as required
  • Must be available for emergency / telephonic check-ins when needed
  • Salary : R15 000 per month (Benefits offered after 3-month probation)
