Job summary

A leading recruitment firm is seeking an Executive Personal Assistant based in Johannesburg. The successful candidate will act as a point of contact among executives and external partners, while also managing complex travel and diary arrangements. Additional responsibilities include overseeing office operations and providing HR support. Candidates should possess strong organizational and communication skills, with proven experience in similar roles. This position requires a proactive approach and the ability to work with minimal supervision.

Qualifications

  • Experience as Executive or Personal Assistant or similar role.
  • Strong proficiency in MS Suite applications.
  • Excellent organizational and multitasking abilities.

  • Act as point of contact among executives and clients.
  • Manage all travel arrangements including itineraries.
  • Oversee clerical staff and manage office operations.

Responsibilities
  • Act as the point of contact among executives, employees, clients and other external partners
  • Drafting of emails and communication to all staff
  • Travel Management
  • Executive travel arrangements including visa applications, flight and accommodation bookings, transfers and travel itineraries
  • Diary Management
  • Manage the executives calendars, setting up meetings both internally and externally, and complex diary management through effective prioritization
  • Office Management
  • Oversee the performance of clerical staff (office manager and office cleaner)
  • Oversee the office manager and general day-to-day office requirements
  • Manage the office budget and oversee all finances related to gifting, stationary, office supplies and groceries
  • Event Planning and Execution
  • Coordinate events and company functions
  • Compile the monthly team update presentation
  • HR Support
  • Compile, consolidate and distribute the company newsletter
  • Work closely with HR to develop the yearly calendar for company wellness programs and culture focused initiatives
  • Project management and implementation of the company Employee Value Proposition
