Responsibilities:- Print Bank statements, to update the Daily Cash Flow on Dropbox and save on the s-drive.
- Send an email daily to the Debtors department with Debtors receipts (inflows received in the bank for the previous day).
- Debtors will send Pastel allocations for the receipts sent; upon receiving this response, allocate the receipts on Pastel as instructed and advise the Debtors department that the receipts are posted.
- Prepare the cashflow statement (with previous day's transactions).
- Print all payment requests received, and arrange for the payment runs (Tuesdays and Fridays).
- Prepare payment recon, and load payments on the FNB Portal.
- Submit the payment pack on Hellosign for the signatories to review, sign-off and release the payment.
- Once payment is fully approved and the proof of payment is issued, send the POP to the relevant recipient.
- USD Payments - load on FNB portal and get necessary approvals for the payments.
- Allocate entries on the bank statements daily, to ensure that the Pastel bank recon is always in line with the bank statement daily (ZAR and USD).
- Head Office Treasury sends swifts for all USD receipts; once every swift is received, process it on the FNB Portal and get the necessary approval for the receipts to be fully authorized within the described value date.
- Daily, check swifts received the previous day against the bank statement to ensure that all receipts for each value date are fully processed.
- If a receipt is omitted by FNB, liaise with FNB Inward to release.
- Always ensure that swifts received are reflecting in our bank account as of the relevant value date.
- Prepare all month-end invoices and ensure what the cash requirement is for month-end payments.
- Transfer Funds between Call and Current Account as required by liaising with Head Office.
- Process Petty Cash movements in Pastel to balance to WSS reports.
- Ensure that month-end invoices are received in time and the costs are captured within the set month to ensure that expenditure is accurately recorded.
- Log into Siyakhokha and print the monthly electricity invoice and share with the relevant Manager for her reports.
- Capture Insurance Journals monthly.
- Reconcile insurance billing when received from HO to ensure that the invoicing is accurate.
- Receive and load Intercompany recharge invoices as received from the divisions.
- Month-end journals processing and posting on Pastel.
- For all month-end invoices received, prepare the payment batch and upload on Hellosign for approvers to review and release.
- Once all payments are fully released, send the proof of payment to the relevant recipients.
- Save signed payments on the S-Drive.
- Save proof of payments on the S-Drive.
- USD Payments: Ensure that the best rate is always secured for the USD payments.
- Process the accruals journal at month-end for all unpaid invoices.
- Receive and prepare the Absa Tolls and Harbor Weighing Reports and send to relevant Managers.
- Reconcile the bank recons with bank statements with all month-end payments made, bank charges, and other entries as reflected on the bank statement.
- Reconcile allocated GLs, i.e., Prepaids, Cash In Transit, Deposits, Rentals, Suspense at month-end.
- Receive, review, and submit for approval all Intercompany confirmations and send the signed confirmations to the relevant divisions.
- Liaise with divisions on queries which arise.
- Assisting FM with and FD with ad hoc and additional queries.
- Insurance journals and processes.
- Directors' expenses accounts processing and reporting.
- Bank recons processing and finalization submit for approval and sign off to FM.
- Revaluation run for USD bank recon (once all processing is done, speak to the relevant Manager to run the Pastel reval).
- Process Interest Journals for Head Office Overdraft Facility and balance to them.
- Process Insurance journals as sent by HO to the relevant GLs.
- Upon receiving signed bank recons, scan and save under month-end reports on the S-Drive.
- Review of VAT when comfortable to take over.
- Do FAR eventually.
- Keep up to month-end deadlines.
- Attend to queries from ZIM relating to payments and carry them out.
