Administrator Contract Administration

Division: Finance
Unit: Procurement
Location: Bloemfontein

2 year contract position

The University invites suitably qualified, dynamic, and service-driven individuals to apply for the position of Administrator: Contract Administration within the Procurement Unit. The successful candidate will play a key role in ensuring that all University contracts are developed, managed, monitored, and closed out in line with applicable legislation, policies, and best-practice Supply Chain Management principles.

Key Responsibilities

The successful candidate will be responsible for:

  • Administering the full lifecycle of contracts, including development, monitoring, close-out, and renewals.
  • Ensuring effective and timeous communication of contract information to all stakeholders.
  • Monitoring contract performance and compliance with contractual terms and institutional policies.
  • Liaising with Legal Services on the drafting and finalisation of contracts, SLAs and related agreements.
  • Serving as the primary point of contact for contract-related queries within the Procurement Unit.
  • Maintaining and updating all contract registers (Contract Register, Contract Risk Register, Commitment Register).
  • Supporting the Universitys Supplier Relationship Management initiatives.
  • Providing operational support to the Procurement Unit and participating in relevant committee meetings.
  • Ensuring proper documentation, record keeping, and information management for all contracts.
Minimum Qualifications & Experience
  • A Diploma (NQF 6) or Degree (NQF 7) in:
    Supply Chain Management, Procurement, Logistics, Public Management/Administration, Finance, Accounting, Audit, Law, Business Management/Administration, or a related field.
  • At least 2 years experience in Contract Administration/Management, Procurement/SCM, Finance, Audit or Law in a public or private sector environment.
  • Experience in infrastructure procurement will be an added advantage.
Additional Requirements
  • Strong knowledge of contract management processes and the contract lifecycle.
  • Understanding of Procurement and Supply Chain Management frameworks.
  • High level of accuracy, attention to detail, and organisational skills.
  • Good written and verbal communication skills.
  • Analytical thinking and sound problem-solving ability.
  • Proficiency in computer applications (MS Office and related systems).
  • Understanding of data privacy and compliance requirements (e.g., POPIA).
  • Willingness to work overtime and occasionally travel when required.
