Administrative Excellence & Stakeholder Engagement
- Welcome and assist visitors, ensuring a professional and friendly experience.
- Cultivate and manage relationships with diverse stakeholders, including end-users, SMEs, project managers, and senior staff, delivering exceptional service that exceeds expectations.
- Coordinate logistics such as parking, out-of-town accommodation, meeting room bookings, catering, and team events, ensuring seamless execution.
Operational & Inventory Management
- Provide operational support for the RMB Shop: process daily orders (confirm payments, prepare orders, coordinate collections), update stock systems. Gift wrap and prepare client gifts
- Oversee storerooms and production rooms: organise, track, and replenish stock as needed, including bi-annual stock takes.
- Track and manage art pieces across offices and oversee artwork storage.
Event & Brand Collateral Support
- Prepare event collateral: name tags, menus, invitations, and place cards with high-quality presentation.
- Manage couriering and receipt of branded collateral: ensure items like banners and poles are returned in good condition, and coordinate requirements with internal teams and external partners
Financial & Administrative Efficiency
- Manage costs and expenses within approved budgets to achieve cost efficiencies.
- Complete administrative tasks with accuracy: minute-taking, reporting printer issues, arranging couriers/messenger services.
- Monitor and manage milestone gift stock levels, distribute monthly communications, and track collections.
Team Collaboration & Personal Development
- Contribute to teamwork and inclusivity by sharing knowledge and valuing diverse contributions.
- Proactively seek performance feedback, create and review a personal development plan with your manager, and stay updated on learning opportunities, products, and trends.

- Have excellent interpersonal and communication skills, with a professional, polite, and friendly demeanour.
- Possess strong organisational skills, with a focus on accuracy, attention to detail, and time management.
- Are energetic, flexible, and able to juggle multiple tasks in a fast-paced, high-pressure environment.
- Can take instruction from a large team while being proactive and taking initiative.
- Have basic IT skills, including proficiency in Microsoft Word and Excel, and understand file-saving structures.
- Are confident with simple financial figures and basic financial allocation for event costs.
- Have experience or the ability to manage stock, coordinate logistics, and support event or administrative functions.
