Job Advert Summary

Unitrans is seeking to employ an Administration Officer II who under general supervision performs a limited variety of clerical duties for functional groups involving compiling and arranging data making standard computations licencing receptionist duties handling petty cash managing the depot fleet fines processing documents maintaining records and filing. Routines are generally prescribed and supervision is readily available.

Duties & Responsibilities
  • Managing the boardroom calendar
  • Preparing boardroom for meetings / audits
  • Arranging of lunches / refreshments for meetings / audits
  • Answering and transferring incoming calls to the relevant staff / Managers reporting and following through on switchboard / phones faults / weekly updating internal extension list
  • Daily - sending and receiving courier mail
  • Managing staff Cleaners
  • Ordering of monthly groceries and water
  • Ordering and maintaining stock distributing as and when required
  • Managing float
  • Weekly cash Reconciling
  • Send out weekly COF reminder & update license renewal notification via email
  • Receive and distribute all license disks to the respective contract Supervisors / Fleet controllers
  • Pulling of monthly fine reports and updating fine status on the Trafico system
  • Speeding fines to be given to Contract Managers or Supervisors
  • Submission of fine requests into Trafico system
  • Monthly reconciling and submitting of overtime and weekend allowance to payroll
  • BVOs Night Out claims Weekly capturing & submissions per contract to payroll
  • Filing done daily in order number sequence
