ADMINISTRATION MANAGER/EAST LONDON
This is a multi-functional role involving Finance, HR & BBBEE functions that collectively fall under the title of Admin manager. There's plenty of scope to grow in this role by directly supporting the Group Finance Manager in a number of key finance areas such as efficiency & productivity, costing & AI. The role is thus more suited to someone with a strong Finance background such as a FM that is looking to grow & expand their role.
Minimum Requirements
- Degree/diploma or at least 10 years + experience
- HR & Finance knowledge 5 years +
- Payroll 5 years +
- Advanced knowledge of the Peopleware payroll & HR system
- Intermediate to advanced excel knowledge
- Analytical minded
Role and Key Performance Areas
Human Resources
- Wages & Salaries daily hours, overtime & absenteeism stats
- Absenteeism stats & graphs for HR to track AWOL’s & excessive sick leave
- financial template & HR reporting template for head office
- BBBEE verification audit deliverables
- New learners for Siyaya & Yes: costing, signoff of SLA & learner contracts
- Providing data to Rola & GBS i.e. skills development & headcount data / earnings
Finance
- Wages overtime stats to MD, CFO
- Coffee & tea stats to Logistics for quota distribution
- Staff movement report
- Check & sign off wage’s payroll
- Salaries payroll
- Month end payments for salaries & wages: SARS, MIBCO, MIBFA, etc
- Month end returns for SARS, MIBCO & MIBFA
- UIF declaration for salaries
- Wages leave pay & bonuses provisions
- Monthly finance reporting for CFO: wages & salaries
- Medical Aid recons for Moto & Discovery
- Email monthly Provident Fund contributions to Momentum
- Sign off & check invoices from Siyaya learners, Clinic, Family Planning, etc
- Salaries SAF claims processing
- Employment stats to Stats SA attention maria@statssa.gov.za
- Sign off & check invoices from Yes Programme learners
- Payroll accounts balance sheet reconciliations
- SARS declaration & submissions i.e. IRP5s
- Wage bonus & leave pay preparation/reconciliations
- Salaries bonuses, stock take & annual increases
- External audit deliverables
- RMA declaration form submission to obtain Letter of Good Standing
- RMI Code of Conduct Certificate. Ensure payment made to get new certificates
- Medical aid yearly increases recon according to monthly salary bands
- Wages & salaries forecast headcount & budget
Adhoc
- Managing direct reporting of IR Manager, Payroll Administrator & 2 HR staff
- Productivity & efficiency reporting
- Disciplinary stats for absenteeism i.e. incapacity for excessive sick leave
- Signoff of new, amendments & cancellations of Medical Aids
- Completion & signoff of Provident Fund withdrawals on discharge
- Stats & analysis of data requested by Top Management
- Upgrading Peopleware HR/Payroll system with new releases
- Configuration of any changes in the Peopleware system
- Management of the Peopleware system from the software to the Hardware
- Training & mentoring of HR staff
- Assisting with medical aid, provident fund, etc queries with the service providers
