Job description
Overview

The role is responsible for providing overall support to the APAC Regional Security Operations group. Duties include, but are not limited to, meetings coordination, database management, invoice processing, communicating with internal and external stakeholders, and other general secretarial and administrative support to the department. Strong team player is highly desirable. Based in Singapore, this position will report into the Vice President of Global Security Asia Pacific.

Responsibilities
  • Prepare Travel & Entertainment (T&E) claims on behalf of the Vice President. File, track and manage T&E reconciliation
  • Schedule meetings and manage appointments, with follow up for each activity
  • Manage the day-to-day calendar for the Vice President
  • Make all travel arrangements which includes flights, ticketing, lodging, visa application, etc.
  • Liaise with VP's direct reports and other employees to ensure deadlines are met
  • Receive guests/overseas visitors, handle daily correspondence (mails, emails, faxes), answer phone calls and take and relay messages in a timely manner
  • Manage SAP administration to include PO's and Invoices
  • Maintain security databases and MIS, efficient document filing systems (manual and electronic), and distribute department information, materials, and presentations, as required
  • Coordinate with the GSCC, ESCC, GITA, GCM, and other Global Security-related entites for enterprise related MIS
  • Take meeting minutes when necessary.
  • Coordinate and collaborate with APAC teams and other cross-functional teams.
  • Provide overall administrative support to the APAC regional security group
Professional Qualifications and Experience
  • Preferably a Diploma holder. Candidates with GCE 'O' levels and a minimum of five years relevant working experience in a corporate environment
  • Similar experience working with or supporting a senior leader is preferred
