AlRashed Industrial Are looking for Project Document Controller in AlRashed Fasteners & Engineering Co.

Ensures proper control, organization, and submission of all technical and quality documents related to Saudi Aramco and client projects. This role is essential for maintaining traceability, audit readiness, and client satisfaction through precise and disciplined documentation management.

Job Purpose
  • To manage and control all project-related documents, correspondence, and records for Saudi Aramco and other client projects, ensuring full compliance with Aramco documentation requirements, ISO 9001:2015, and the company’s QMS.
  • The Document Controller ensures that all quality and technical documents are properly organized, traceable, and readily available for audits, inspections, and project reviews.
  • Office-based role with regular coordination with production, QA/QC, and procurement teams.
  • Occasional client and third-party interactions.
  • Must ensure compliance with company’s EHS and QMS policies.
Skills & Competencies – Project Document Controller (Saudi Aramco Projects)
1. Technical Competencies
  • Strong understanding of Saudi Aramco documentation requirements, including SAEP, SAES, SAMSS, and project data book procedures.
  • Proven ability to manage and control technical and quality documents such as PQP, ITP, NCR, MTC, calibration records, inspection reports, and submittal logs.
  • Skilled in document numbering, version control, and transmittal management in compliance with company QMS and ISO 9001:2015 standards.
  • Experience with Saudi Aramco online documentation systems (e.g.,Share KAT, SAP, Ariba, Smart Plant Foundation, or equivalent EDMS).
  • Capable of compiling and finalizing Manufacturer Data Books (MDB)and ensuring complete traceability of project documentation.
2. Digital & System Skills
  • Proficient in MS Office applications (Excel, Word, PowerPoint, Outlook) for document tracking and reporting.
  • Skilled in PDF tools (Adobe Acrobat Pro) for reviewing, merging, and digitally signing project documentation.
  • Familiar with SharePoint or cloud-based DMS for collaborative document control and version management.
3. Quality & Organizational Competencies
  • In-depth understanding of ISO 9001:2015 documentation control requirements.
  • Strong attention to detail, accuracy, and consistency in handling and filing technical records.
  • Excellent organizational and record-keeping abilities, ensuring documents are easily retrievable and audit ready.
  • Competence in risk-based thinking and maintaining document control during internal and client audits.
4. Communication & Coordination Skills
  • Effective communication with Saudi Aramco project representatives, QA/QC engineers, and project managers.

Key Responsibilities
Document Management
  • Establish and maintain a project document control system as per Aramco and company requirements.
  • Control the flow of project correspondence, Procedures, drawings, MTCs, ITPs, NCRs, MIRs, IRs, and certificates.
  • Assign and track document numbers, ensuring proper version control and status updates.
  • Prepare, register, and transmit all project submittals through Aramco-approved portals (Sharek AT, SAP, or Ariba) or via approved transmittals.
  • Maintain document distribution matrix (DDM)and ensure the right documents reach the right departments.
  • Ensure that all Aramco specifications (SAEPs, SAESs, SAMSS) and project correspondence are properly filed and retrievable.
Quality Documentation & Compliance
  • Ensure that all QA/QC records (MTCs, inspection reports, coating reports, calibration certificates, EDRs, NCRs) are properly reviewed, indexed, and archived.
  • Assist QA/QC in preparation and submittal of Project Quality Plans (PQP), ITPs, Procedures, and Method Statements.
  • Verify document compliance with Saudi Aramco Engineering Standards (SAES), Material System Specifications (SAMSS), and contract requirements.
  • Support preparation of Manufacturer Data Books (MDBs) / Dossiers for Aramco final documentation.
  • Maintain confidentiality and security of controlled documents as per company policy.
Coordination & Communication
  • Coordinate with QA/QC, Production, Procurement, and Management teams to ensure timely document updates.
  • Communicate with Saudi Aramco inspectors, third-party inspection agencies (TPI), and clients for document submission and clarification.
  • Track document approval statuses and follow up on pending reviews or returns.
  • Prepare document status reports for management and clients on a regular basis.
Qualifications & Experience
  • Education: Diploma or bachelor’s degree in engineering, Business Administration, or Document Management (or equivalent).
  • Experience: Minimum 1 to 2 years of experience in Document Control or QA/QC administration in a manufacturing or oil & gas project environment.
  • Preferred, Experience in Saudi Aramco vendor-approved companies or EPC project documentation.
