Job description
Job Purpose / Objective

Handles the housing process which includes securing adequate housing areas, in maintaining / cleaning the premises making room assignments; verifying housing is prepared ahead of time and ensuring provision according to benefit matrix of employee. A Housing Coordinator is responsible for keeping the residents happy, and to make sure all their necessary needs are met according to HMG housing policy.

Key Responsibilities / Accountabilities
  • Assist Housing Supervisor for preparation of necessary housing policy and procedures.
  • Coordinate with the cleaning / Maintenance department on all Job orders and ensure that each job order is accomplished and done accordingly.
  • Monitor the appropriate working and maintenance of housing units i.e.
    • Air-condition / cooling system
    • All kitchen appliances (Supplied by Housing)
    • Plumbing System
    • Electrical System
  • Submit weekly/monthly HMG accommodation Job Order Report to monitor pending and accomplished requests.
  • Provide protocol to high profile residents and ensure their comfort.
  • Coordinate all housing activities of tenants.
  • Monitor, evaluate, inspect and implement the necessary actions to maintain the overall housing condition up to the required living standards.
  • Organize, controls and monitor day to day activities of housing cleaning/ maintenance and other related tasks and provide reports accordingly.
  • Address violation of housing policies and submit report to Housing Supervisor.
  • Solve problems, raised by the residents in their accommodations.
  • Prepare housing related records, reports and statistics on a daily/weekly/monthly basis accordingly.
  • Ensure proper / standard preparation of all units in the facility.
  • Review the required resident check list and ensure the timely delivery of necessary items to all staff.
  • Coordinate Emergency nature of incidents on priority
  • Coordinate the problems among staff standing as mediator and do the counseling with the flat representative
  • Ensure female tenants are appropriately accommodated for shopping trips according to HMG policy
  • Make sure all the procedures for permanent/temporary out pass and leave out are accomplished according to HMG policy
  • Review all damage / maintenance reports of the facility and ensure that all internal / external areas are clean, safe and in good order
  • Ensure residents’ directory is updated and updated housing reports are ready to be submitted to the Head of Housing department as needed.
  • Communicate with Housemothers/Housefathers/coordinators for any job order or maintenance problem inside the facility.
  • Ensure the preparation of Job Order Requests and Purchase Requisitions as requested by the residents, get approval from the Housing Supervisor and follow-up as required.
  • Monitor work orders initiation for remedial action and follow up work orders submitted to ensure proper and professional completion of any work undertaken.
  • In coordination with property section department, ensure proper and timely replacement / re-ordering of facility needs.
  • Ensure all work carried out by sub-contractors is up to the required standard.
  • Report to the Supervisor of Housing about any variation from normal operational conditions.
  • Report any occurrence not consistent with the operation of HMG or standard of service for employees or visitors and situations which put staff or visitors at risk for injury or other harm.
  • Participate in person-centered care initiatives undertaken by HMG.
  • Enrich patient experience with compassion, respect and dignity.
  • Perform other applicable tasks and duties within the realm of his/her knowledge, skills and abilities, commensurate with his/her assignment.
