Executive Personal Assistant to the CEO

Reporting to: Founder & CEO
Role Overview
We are looking for a highly organized, proactive, and trusted Executive Personal Assistant to support the Founder & CEO of a fast-growing telecommunications company.
This role goes far beyond traditional administrative work. The Executive PA will act as the CEO’s execution partner, ensuring follow-ups, coordination, communication discipline, and daily organization across internal teams, customers, partners, and stakeholders.
This role requires maturity, discretion, discipline, and strong follow-through.
Key Responsibilities
- CEO Support & Time Management
- Manage the CEO’s calendar and priorities
- Schedule and organize internal and external meetings
- Prepare agendas and briefing notes before meetings
- Ensure meetings are purposeful and time-efficient
- Protect the CEO’s time by filtering noise and interruptions
Meeting Management & Follow‑Up
- Attend key meetings (internal and external when required)
- Capture decisions, action items, and responsibilities
- Send structured follow‑up emails after meetings
- Track execution of agreed actions
- Ensure no decision or commitment is lost or forgotten
Internal Coordination & Execution Tracking
- Follow up with department heads on assigned tasks
- Track deadlines, progress, and blockers
- Maintain execution lists and status updatesEscalate delays or risks professionally and on time
- Ensure alignment between teams
Communication & Documentation
- Ensure official communication is done via email
- Draft and organize professional emails on behalf of the CEO
- Maintain organized records of decisions and correspondence
- Coordinate with internal teams, partners, and customers
- Ensure clarity, traceability, and professionalism in communication
External Coordination
- Coordinate meetings and follow‑ups with:
- Customers
- Partners
- Operators
- Consultants
- Service providers
- Handle logistics, scheduling, and documentation
- Never negotiate — only coordinate and follow through
Governance & Process Support
- Support the CEO in enforcing internal processes and discipline
- Help maintain structure and organization across the company
- Ensure teams follow agreed workflows and timelines
- Prepare weekly summaries and status updates for the CEO

- Not a technical role
- Not a personal errands role
This role is about execution, coordination, and discipline.
Required Skills & Profile
- Excellent organizational and follow‑up skills
- Strong written and verbal communication (English required; Arabic is a plus)
- High level of professionalism and discretion
- Ability to manage multiple priorities calmly
- Strong sense of responsibility and ownership
- Comfortable dealing with senior stakeholders
- Tech‑savvy (email, calendars, documents, basic tools)
Preferred Background
- Executive Assistant or Office Manager experience
- Project coordination or operations support experience
- Experience working with founders or senior executives
- Background in fast‑paced or startup environments is a plus

Eligibility & Experience
- Minimum of 3 years and maximum of 5 years of experience as an executive or personal assistant, preferably supporting senior leadership.
- Proven ability to manage multiple priorities in a fast‑paced, hybrid work environment.
- Exceptional organizational and time management skills with keen attention to detail.
- Strong written and verbal communication skills.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
- Ability to work independently and proactively anticipate executive needs.
- Excellent interpersonal skills and a professional demeanor.
- Strong problem‑solving abilities and resourcefulness.
- Flexibility to adapt to changing priorities and schedules.
