Job summary

A prominent administrative firm located in Riyadh, Saudi Arabia, is seeking an experienced administrative professional to manage daily office operations, handle communications with local entities, and assist with financial processes. The ideal candidate should possess an associate degree or higher and be proficient in English, with Arabic language skills as a plus. Experience in a Saudi local or multinational enterprise is preferred. This role requires attention to detail and strong collaboration skills.

Qualifications

Responsibilities

Job description
1. Daily Administrative Management
  • Manage and track employee attendance, leave, and timecard records
  • Handle document dispatch, filing, and documentation management
  • Oversee daily office operations, including stationery procurement, equipment maintenance, and office environment management
  • Manage payments and reimbursements for office rent, utility bills, internet fees, and other administrative expenses
2. External Liaison Support
  • Coordinate administrative matters with government authorities (e.g., Ministry of Labor, Immigration Office, Chamber of Commerce, etc.)
  • Communicate and coordinate with local service providers such as property management, cleaning services, and third‑party procurement agents
3. Meeting and Reception Management
  • Arrange meeting rooms, take meeting minutes, and prepare meeting materials
  • Receive visiting clients and arrange business travel logistics (e.g., car rentals, hotel bookings, etc.)
  • Assist in organizing company events (e.g., annual meetings, team‑building activities)
4. Financial and Procurement Assistance
  • Handle routine administrative procurement and control budgets in coordination with the finance team
  • Assist with small amount cash management and reimbursement processes for the branch office
5. Translation and Communication Support
  • Translate simple documents between Chinese and English (or Chinese and Arabic, depending on language ability)
  • Support communication and cultural coordination between Chinese and Saudi staff
Skills
  • Associate degree or above, with a major in Administrative Management, Business Administration, Human Resources, or related fields preferred
  • Proficiency in English is required; Arabic language skills are a plus
  • Prior administrative experience in a local Saudi company or multinational enterprise is preferred
