Overview
The ideal candidate for this position will be a skilled multi‑tasker, reliable, and committed to consistently meeting deadlines. They must have excellent attention to detail, be very comfortable with computers, accounting software, accounting practices, and enjoy learning quickly.
The Accounting Assistant will work to complete tasks with principles, project managers and the accounting team leads to support the growth and productivity of the entire organization and its individual departments and teams.
The position could be full‑ or part‑time and the candidate will typically work remotely from home.
Responsibilities
- Process and maintain Accounts Payable, Accounts Receivable, invoicing, fixed assets and other accounting functions.
- Analyze transaction records to comply with financial policies and procedures.
- Assist in managing day‑to‑day accounting and finance requirements, including developing strong proficiency in the Zoho financial and project management suites.
- Update all databases and spreadsheets related to accounting.
- Identify and address discrepancies in all documentation.
- Receive and verify billing and requisitions on goods and services.
- Process and send bank deposits and invoices as instructed by the accounting lead.
- Assist in preparing and submitting tax documentation to the appropriate legal institutions.
- Assist principles in tracking financial benchmark goals and key performance indicators.
- Work with the team in the development, maintenance and evolution of standard financial metrics.
- Assist principles in budget preparation, monthly forecasting and analysis.
- Assist with managing client communication to provide efficient aging processes and professional relationship development.
- Provide business administration assistance to principles and project managers in areas such as proposal writing, data analytics of project financials, invoicing, payment bond claim reports, supporting exhibit preparation and other project/client work.
Qualifications
- Demonstrate strong verbal and written English language communication skills.
- Strong understanding of bookkeeping procedures and best practices.
- Ability to manage sensitive and sometimes confidential information.
- Intermediate to Advanced proficiency in Microsoft Word, Excel and PowerPoint.
- Self‑motivated, hardworking, and collaborative.
- Ability to work in a fast‑paced environment, be self‑directed and prioritize your own workflow.
- Ability to understand and appropriately implement company policies and procedures.
- Manage details of multiple projects in an efficient and organized manner.
- Maintain a good attitude and flexibility within a dynamic work environment.
- Minimum bachelor’s degree in a business field or equivalent with strengths in accounting, finance, math and data analysis.
- Applicants within 12 months of completing their degree are also welcome.
Additional Requirements
- Experience working in the commercial building industry is a plus.
- Proficiency in Camtasia Studio and Microsoft Publisher is a plus.
