Front Office Coordinator & Executive Assistant (Full-Time, Remote)

The firm is known for its aggressive, client-focused representation across Family Law, Personal Injury, Business Litigation, and Government Affairs.

We are seeking a Full-Time Remote Front Office Coordinator & Executive Assistant to work directly with the CEO and support firm-wide operations. This role is ideal for a highly organized, proactive professional who can manage executive-level scheduling, follow up on tasks and client matters, and contribute to light marketing initiatives, including SEO and social media content support.

Position Overview

This role serves as a central operational and administrative support position within the firm. You will work closely with the CEO to manage schedules, coordinate priorities, follow up on internal and external tasks, and assist with client communications. In addition, you will support basic SEO-related tasks and social media content coordination to help strengthen the firm’s online presence.

Key Responsibilities
  • Provide direct administrative and executive support to the CEO
  • Manage calendars, scheduling, meeting coordination, and reminders
  • Track tasks, deadlines, and follow-ups with internal team members and clients
  • Assist with client communications via phone, email, and internal systems
  • Support operational workflows to ensure priorities and action items are completed
  • Assist with document preparation, organization, and file management
  • Maintain accurate records and data entry in CRM or case management systems
  • Support basic SEO-related tasks such as content coordination, keyword research assistance, or blog organization
  • Assist with social media content scheduling, coordination, or light content preparation
Required Qualifications
  • 2+ years of experience as an executive assistant, virtual assistant, office coordinator, or administrative professional
  • Strong organizational skills with the ability to manage multiple priorities and follow through on tasks
  • Excellent written and verbal communication skills
  • Experience supporting senior leadership or executives
  • Basic knowledge or hands-on experience with SEO concepts and digital content
  • Familiarity with social media platforms and content workflows
  • Comfortable working remotely using cloud-based tools, CRMs, and document systems
  • High attention to detail, discretion, and professionalism when handling sensitive information
  • Reliable internet connection and a quiet, dedicated remote workspace
Preferred Qualifications
  • Prior experience supporting a law firm or professional services environment
  • Familiarity with legal CRMs or case management software
  • Experience in Personal Injury or Family Law settings
  • Spanish bilingual skills are a plus, but not required
