Job Title: Executive Assistant (Remote | Flexible Full-Time) Salary: $2,200 USD per month Language Requirement: English C1+ (Fully Professional) Equipment: Must have your own laptop + high-speed internet ???? Work Arrangement: Remote | Flexible Full-Time (commitment-based, not hourly) Primary coverage: U.S. Central to Eastern Time Monday to Friday Availability via email, call, and text during business hours

Role Overview We are seeking a highly experienced, resilient, and exceptionally organized Executive Assistant to support senior leadership through the Chief Administrative Officer / Chief of Staff. This role exists to offload complex calendar and scheduling responsibilities so leadership can focus on operations, strategy, and growth. The Executive Assistant will initially report exclusively to the Chief Administrative Officer, not directly to the executive. Direct interaction with the executive will be introduced gradually based on performance, reliability, and trust. This is a long-term role designed for someone who wants to grow alongside a scaling organization and take on increasing responsibility over time.

Core Priority (Non-Negotiable)

Elite calendar management is the single most critical competency for this role. No additional responsibilities will be assigned until this capability is fully demonstrated.

Key Responsibilities
  • Phase 1: Calendar & Scheduling (Primary Focus) Own and manage a highly complex executive calendar. Coordinate meetings across multiple time zones and entities. Anticipate conflicts and proactively resolve scheduling issues. Protect and optimize executive time. Manage high volumes of scheduling-related email and communication.
  • Phase 2: Travel Coordination (After Calendar Mastery) Book and manage frequent domestic travel. Coordinate itinerary changes and tight transitions. Ensure alignment between travel plans and calendar commitments.
  • Phase 3: Expanded Administrative Support Support personal scheduling (medical, family, and logistics). Communicate professionally with executives, investors, partners, and stakeholders. Maintain a warm, human, and relationship-oriented communication style. Track follow-ups, confirmations, and action items.
Tools & Systems

Full Microsoft Outlook & Microsoft Office Suite (mandatory & currently using). Minimum 5 years of recent, professional use (10+ preferred). Comfort working with U.S.-based systems and websites. Ability to adapt to new tools as needed. VDI / VPN access may be provided depending on location.

Communication & Availability Expectations
  • Fluent, professional English C1+.
  • Comfortable calling and texting using a U.S. phone number (provided).
  • Reachable during U.S. business hours, with flexibility for brief after-hours requests.
  • Flexible schedule with variable workload; not a strict clock-in / clock-out role.
