A technology company is seeking a highly organized Executive Administrator for its Technical Projects & Programs department. This remote role involves managing executive schedules, coordinating events, and ensuring smooth communication among staff. Candidates should have a strong command of English, excellent time management, and keen attention to detail. Familiarity with administrative tasks is preferred but not mandatory. This position offers a monthly salary of $18 to $22, depending on experience.

Wolfram, creator of Mathematica, Wolfram|Alpha and Wolfram Language, is looking for a highly organized and detail-oriented Executive Administrator, Operations to join its Technical Projects & Programs department.

The Executive Administrator will schedule activities for our chief executive staff, including our CEO.

This person should have an understanding of our mission, experience in performing administrative duties, and eagerness for providing professional aid to managers.

Responsibilities
  • Managing executive appointments and calendars
  • Coordinating new or updating existing events
  • Routinely hosting stand-up meetings to review memos or prepare for events
  • Carefully handling confidential or sensitive information
  • Performing other administrative tasks as requested
  • Maintaining a stakeholder-approved scheduling process
  • Communicating between various levels of staff who wish to access or modify calendar events
  • Calling in personnel who are needed mid-meeting
  • Collating memos or other executive requests for later review
  • Switching "modes" often to alternate between immediate and backlogged priorities
  • Establishing, documenting and improving internal processes
Qualifications
  • Fluent in English
  • Excellent time management and the ability to meet deadlines
  • Strong writing skills, attention to detail and organizational skills
  • Proactivity and self-direction
  • Ability to coordinate multiple projects or tasks simultaneously
  • Ability to work autonomously without change to the quality of work
  • Ability to adapt to changing priorities in a fast-paced environment
Preferred qualifications
  • Administrative experience is a plus
  • Project management experience is a plus
  • Ability to use (or the willingness to learn) Wolfram Language is a plus
