To take our company to the next level, we are currently looking for an Office Operations Coordinator, reporting to the CEO's executive assistant: this position is an opportunity to shape innovation in the mental health industry, leading our solutions to make a global impact. THE ROLE

We are looking for a dynamic and resourceful problem-solver for a key role that goes beyond standard office tasks. You will be the operational mind behind the scenes, ensuring our work environment is not only functional but also a place of growth, collaboration, and well-being for everyone.

This position is a unique opportunity for an ambitious and sharp individual, ready to make an impact and shape their professional path within our company.

Frequent presence at our Milan office is required.

You will be responsible for:

  • Strategic office management: you will handle the day-to-day operations that keep the office efficient and welcoming, from managing supplies to liaising with suppliers and optimizing key processes to improve overall organization.
  • Communication and event hub: you will help the HR team with company communication flows, both internal and external, while also using your creativity to help in the organization of events and initiatives that strengthen our team spirit and foster a sense of belonging.
  • Administrative & document management: you will be responsible for handling critical administrative and documentation aspects, including managing official signatures and correspondence.
  • Leadership support: with guidance from your manager, you will begin by providing organizational support for travel and meetings. This will give you the opportunity to gain visibility and trust, allowing you to gradually evolve into a fundamental point of reference for our leadership team and take on an increasingly central role in ensuring flawless execution

YOU WILL BE THE PERFECT FIT IF YOU HAVE:

  • Proven experience: 2-3 years of experience in a similar role (e.g., Office Management, Administrative Assistant, or similar).
  • Adaptability & Proactivity: you are a quick-thinker who thrives in a fast-paced and rapidly changing environment. You are able to anticipate needs, spot opportunities, and take initiative.
  • Reliability & Precision: you are highly organized, detail-oriented, and reliable, with a proven ability to manage multiple tasks and deadlines effectively.
  • Good communication & interpersonal skills: you are a collaborative team player with excellent communication skills, comfortable interacting with stakeholders at all levels.
  • Problem-solving & Autonomy: you are a resourceful problem-solver, capable of working independently while also being flexible and open to new ways of working.
