Job Description
Scope of Position
Responsible for managing all aspects of the Ocean Import Department, supporting the team, and delivering exceptional customer service.
Key Responsibilities
People
- Identify and develop a No. 2 team member.
- Allocate workloads and manage peak activity or staff absences.
- Mentor agents and promote training of 52 hours per employee annually.
- Follow-up new hire training and conduct quarterly and annual performance reviews.
- Communicate department goals and expectations to ensure accountability.
Operations
- Ensure smooth and timely freight process flow.
- Prepare documents for international transportation.
- Coordinate and negotiate rates with contracted vendors.
- Ensure accurate billing of clients and vendors.
- Enter data into operating system accurately and promptly.
- Meet compliance and internal/external regulations.
- Identify efficiencies and meet KPI standards.
- Maintain strong vendor and customer relationships.
- Support pricing and RFQ responses.
Customer
- Assist sales with pricing, market information, and new business transitions.
- Conduct retention calls and document customer reviews.
- Engage on OIP pipeline opportunities.
Finance
- Monitor accounts payable and maintain payments within 30 days.
- Follow credit procedures and ensure timely vendor billing.
- Resolve accounting issues and monitor intercompany discrepancies.
Compliance
- Promote compliance with company policies and regulations.
- Educate the team on policies and support compliance training.
Culture

Systems
- Implement new system changes and suggest process improvements.
- Promote productivity tools (eDOC, eDOC Lift/Raft, export database, process management).
