A leading company in the industrial sector seeks a Project Coordinator to manage project execution and support the project team in Batam. The role includes responsibilities in project administration, coordination with vendors, and ensuring compliance with quality management standards. The ideal candidate will possess strong organizational skills, a bachelor's degree in engineering, and relevant project management experience.
Essential Duties and Responsibilities

Manage end-to end projects coordination and support for Project team. Assist in creating work orders, bill of materials. Create route sheets and shop pack.

Review sales orders and material list. Ensure availability of sufficient materials in a timely manner.

Assist in sending out request for quotation, obtaining quotes and creating purchase requisition.

Co-ordinate / follow-up with production, Logistics, QC and vendor in job execution and ensure the quality and delivery schedules are met with. Obtain weekly status reports, review and expedite deliveries with vendors on a regular basis.

Obtain weekly project updates and submit to sales team / customer in a timely manner.

Maintain Technical information / Library. Assist Sub-Sea Project Team with administration activities and general clerical duties.

Assist with Sales administration and Purchasing duties including conversion of Purchase requisitions to PO, emailing to vendors, obtain quotes and follow-up.

Update Critical Goods Register on information related to purchase orders and deliveries. Update Risk register regularly. Upload documents into Master Control, ensure latest revisions are held and keep up-to-date all records.

Creation of part numbers, work orders and correct issuance of materials to jobs. Closing of CPD jobs in GLOVIA, upon work completion.

Assist Engineering Project Manager and Project Engineer for ad hoc or any other duties which will be assigned.

Participate, as required, in Quality and EHS audits from API and other external organization's.
Ensure compliance with the OIL STATES INDUSTRIES’ Quality Management System and EHS system.
Formal Education & Certification
1
Bachelor’s degree in engineering, Business, Industrial Management, or a related field.

Tertiary Education, preferably with Engineering Specialization
3
Project Management Certification such as PMP (Project Management Professional) or CAPM (Certified associate in project management) is advantageous.
Knowledge & Experience
1
Minimum 2 Years of Relevant Experience in project coordination with a strong emphasis on organizational skills, attention to detail, and customer orientation.

2–5 Years of Experience in project coordination roles, preferably within manufacturing or industrial sectors.

Manufacturing Process Familiarity, including experience with ERP (Enterprise Resource Planning) systems and scheduling tools.

Computer literate with excellent knowledge of MS-Office: MS-Word, MS-Excel, MS-PowerPoint, MS-Visio, Pdf editor. Exposure to ERP software preferred.
Skills
1
Strong organizational and multitasking skills.

Excellent written and verbal communication in English.

Proficiency in Microsoft Office (especially Excel and Project), and project management tools (e.g., MS Project, Asana).
4
Capability to work under pressure and adapt to shifting priorities in a dynamic environment.
