  • Hours: Full-time, Permanent, Monday to Friday, 08:30 - 17:30 (1-hour unpaid lunch)

Role and Responsibilities
  • Support Team Leadership: Assist the Team Leader and Sea Freight Manager in achieving the department\'s goals to drive business development, improve competitiveness, and increase profitability.
  • Sea Freight Operations: Manage all export-related activities, ensuring shipments are processed efficiently and within compliance. This includes handling Import, Export, and Cross Trade activities and ensuring accurate customs declarations.
  • Customs Declarations: Complete all relevant customs import/export forms correctly and report any errors immediately to your line manager and customs claims department.
  • Operational Activities and Invoicing: Ensure all operational tasks and invoicing are completed in a timely manner, adhering to standard operating procedures (SOPs).
  • Document Control: Perform regular checks (ad-hoc and weekly) to ensure all documents are in order and that operational systems are being maintained.
  • Client Communication: Maintain regular communication with clients, report new sales leads, and ensure smooth handover of shipments to the management team.
  • Invoicing and VAT: Ensure that all duties and VAT are properly accounted for upon invoicing, following the SOPs and ensuring timely collection of any outstanding payments.
  • Process Improvement: Assist in the development of new efficiencies and workflows in collaboration with the line manager to improve customer service and internal processes.
  • Reporting and Quotation: Ensure all required reports are generated and submitted on time, and handle communication of quotations to the sales team, ensuring all are properly logged in the system.
  • Rate Procurement: Manage the procurement of ocean freight rates from shipping lines and co-loaders on a monthly basis.
  • Deviation Forms: Complete all required deviation forms in line with Good Distribution Practice (GDP) compliance.
  • Additional Support: Provide holiday and sickness cover as required, maintaining a smooth operational flow.
Skills, Experience, and Competencies
  • Export Experience: Proven experience in freight forwarding and export operations is essential.
  • CDS Knowledge: Strong understanding of the Customs Declaration System (CDS) for both imports and exports.
  • Software Proficiency: Proficient in Microsoft Office packages, particularly Excel. Knowledge of other relevant logistics software is a plus.
  • Organisational Skills: Ability to prioritise tasks and work independently while maintaining a high attention to detail.
  • Team Player: Capable of working effectively within a team and contributing to a positive and productive work environment.
  • Flexibility: Willingness to be flexible with working hours, including the possibility of occasional weekend work based on volume.
  • Additional Experience (Desirable): Experience in road transport, logistics, or haulage is advantageous, though not essential.
