Job description

Location: Oxford - Onsite

About the role:

Reporting to the Workplace and Facilities Manager, you’ll play a key part in keeping our Oxford office running smoothly. This includes front-of-house reception duties, facilities support, and admin assistance to consultants and wider teams.

Key Responsibilities:

Reception & Office Management

  • Be the first point of contact for all visitors, ensuring a warm and professional welcome.
  • Set up and manage meeting rooms and refreshments for internal and client meetings.
  • Maintain office supplies (stationery, refreshments, toner cartridges, etc.).
  • Handle incoming and outgoing post and packages.
  • Manage the Oxford office contacts and supplier lists.
  • Assist with onboarding new starters (desk setup, passes, etc.).
  • Coordinate office celebrations, farewell events, and birthday gifts.

Admin Support

  • Provide admin assistance across the business alongside other Office Assistants.
  • Monitor shared inboxes and respond to requests within agreed timeframes.
  • Work closely with the London Coordinator on enquiry management.
  • Maintain excellent communication with consultancy staff and support teams.

Workplace & Facilities

  • Liaise with contractors, suppliers, and building management to ensure service quality.
  • Support compliance with Health & Safety regulations.
  • Escalate any maintenance or facilities issues to the Workplace and Facilities Manager.
