Job description

Purpose of the job:

As Legal Services Coordinator, you will provide first class support to Operational Legal Services to both office and field-based colleagues.This role requires a working knowledge of operational letting agreements as well as familiarity with landlord and tenant legislation.

Working in a fun and fast paced environment,the role is office based and the job holder will be expected to liaise with a number of key areas of the business including field-based operators, legal support, licensing, credit control, sales ledger, compliance, local authorities and solicitors appointed by the Company. In addition, the Legal Services Coordinatorwill be responsible for ensuring the company database is maintained accurately and compliance with legal regulations and company policies is adhered to.

Key responsibilities:

    Provide support to the field in the delivery of solutions to disputes.To liaise with stakeholders i.e. including field-based operators, legal support, licensing, credit control, sales ledger, compliance, local authorities and solicitors appointed by the Company.Undertake review of letting histories, tracing previous tenants and researching tenants, guarantors and previous tenants’ assetsPrepare cases summariesPreparation of letters before action in relation to in possession debtPreparation of notices to quit and service of the sameAdministering the process of peaceable re-entry processPreparation of case files and index sheetsPreparing surrender lettersPrepare TAW termination lettersNotice to Quit acknowledgments and amendmentsServing S146 noticesDraft and issue Option to Purchase lettersInvestigate and resolve council tax summonsesAmalgamate and distribute monthly litigation reportsUndertaking general administration tasks for the in-house solicitorManaging and responding to external queries within the Leased and Tenanted estateUpdating company databases accurately and in a timely mannerProviding solicitors with updated ledgers and narratives as requiredComplete ad-hoc tasks/projects as determined by the businessPrepare and issue HMRC de-registration applicationsAdministration tasks

Skills, experience & qualifications:

    Evidence of administration experience and accurate workingExperience of maintaining office and administrative systems and of devising new systems, or improvements to existing onesAttention to detail and the ability to manage the production of documents critical to the businessThe ability to prioritise own workloadExperience of timely and accurate updating and maintenance of company databasesAbility to communicate information effectively to a wide range of internal/external contactsDemonstrate good competency in Word, Excel and OutlookDemonstrable interest in Stonegate Group and the industryUnderstand, embrace and deliver the company’s vision and valuesCalm, well organised and a self-starterExcellent planning and organisation skills and the ability to respond effectively to constantly changing prioritiesFully supportive of team working – recognises when colleagues are faced with a problem or over-stretched and does not wait to be asked before offering assistanceHighly developed interpersonal and communication skills in order to establish and maintain effective working relations with a wide range of internal and external contactsWillingness to learn and adopt new ways of working with a positive attitude and approach to improve departmental efficiency
