An established healthcare organization in Wallington is seeking a proactive Operational Support Manager to oversee practice operations, support patient care, and manage IT systems. You will collaborate closely with the Practice Manager and contribute to high-quality service delivery. Ideal candidates will possess strong healthcare experience and IT proficiency, alongside leadership capabilities, within a fast-paced environment. This role emphasizes excellent communication and operational policies.
The post holder will support the practice operationally andform part of the management and operational team. They will be dynamic, efficient and proactiveand undertaking a range of duties to appropriately facilitate and enhance dayto day working for all staff and the practice as a whole. They will work closely with the Practice Manager and partners to deliver high quality care and excellentcustomer service to patients. They willhelp create and work to dedicated practice polices, protocols and procedures inrelation to efficient and effective processes and help to ensure excellentcommunication across the practice at all times.They will be reactive to issues and take steps to help resolve thesequickly.
EMISappointment book oversight and management.
Supportingthe data extraction, verification and reporting requirements of QoF, PMScontract, locally contracted services and enhanced services.
Monitoringand addressing the needs of GP Appointment Data using Ardens, GPAD, Apex and others
Assistingwith management of the practice website
Supportingthe ongoing management of the PPG and any work such as patient surveys
Managementand update of PCSE portal
Oversightand management of all workflow areas
Addressing complex IT issues, system upgrades and implementation, providing trainingto staff
Supportingthe Practice Manager with HR including recruitment, staff appraisals, performance, training and so on.
Ensuringall items logged to GP Team Net are kept up to date and addressed withinrequired timescales (eg alerts, significant events, policies, premises)
Addressinginitial complaints and responding appropriately following investigation
Support the Practice Manager when required incl attending meetings
Supportingthe Ops lead with reactive IT issues incl laptops and smartcard management
Establishingand updating EMIS templates, protocols and searches

Manor Practice provides primary care services to a patientpopulation of 12,500 patients based across 2 sites within Wallington. ThePractice is currently experiencing rapid growth and is undergoing a transitionperiod having not long ago merged with another practice.

Key Tasks and Responsibilities
EMISappointment book oversight and management
Supportingthe data extraction, verification and reporting requirements of QoF, PMScontract, locally contracted services and enhanced services
Monitoringand addressing the needs of GP Appointment Data using Ardens searches, GPADdatabase and Apex database.
Assistingwith management and updates to the practice website
Supportingthe ongoing management of the PPG and any relevant work such as patient surveysetc
Managementand update of PCSE portal in all areas required
Oversightand management of all workflow areas, supporting admin as required
Addressingmore complex IT issues, system upgrades and implementation, providing trainingto staff as required
Supportingthe Practice Manager with elements of HR including recruitment, set up of newstaff and removal of leavers, training needs and day to day management (whensuitably trained and knowledgeable to do so)
Ensuringall items logged to GP Team Net are kept up to date and addressed withinrequired timescales (eg alerts, significant events, policies, premises)
Addressinginitial complaints and responding appropriately following investigation,liaising with others as required
Deputisingfor the Practice Manager on an as required basis both within the practice andexternally incl local meetings and forums
Supportingthe Ops lead with reactive IT issues incl laptops and smartcard management.
Establishingand updating EMIS templates, protocols and searches on an as required basis.

Other responsibilities within the organisation:
Awareness of and compliance with all relevantpractice policies/guidelines
Using appropriate templates and protocols toensure the correct summarising, recording and read coding of patient records
Participating in the support and training ofmedical, nursing and PA students.
Supporting other staff as needed and in order tomeet all required targets.
Attending and contributing to MDT and practicemeetings.
Supporting the provision of enhanced servicesthat meet the needs of the practice and local population and maximise incomestreams to the practice.
Undertake additional training in order to providesuch services as required.
Meeting timescales and deadlines for audits andwritten returns to ensure that the practice meets quality standards andreceives the designated funding.
Supporting the review and response to anycomplaints or significant events as needed.
