Job description

THE EMPLOYER IS: MCGURK ARCHITECTS LTDAdministrative support role within a busy architectural practice. The Administrative Assistant will assist with the day-to-day running of the office, provide support to the Director and wider team, and help maintain smooth business operations across project administration, tendering, planning, and general office management. The role offers broad exposure to the workings of a professional design practice, with opportunities to develop organisational, communication and administrative skills.

Responsibilities
  • Answering incoming telephone calls, dealing with queries where appropriate, and directing calls to relevant staff.
  • Carrying out filing, scanning, organising electronic documentation, and maintaining orderly digital and physical records.
  • Assisting with meeting administration, including taking minutes and preparing agendas or supporting documents.
  • Providing general administrative support to the Office Director and project architects, including document preparation, and correspondence.
  • Assisting with tender submissions, including contacting consultants for quotations, collating information, and completing standard forms.
  • Monitoring the planning portal for updates on live planning applications, noting key changes, and preparing concise update summaries for clients.
  • Supporting project administration, such as updating project trackers, logging incoming information, and issuing documents to clients and consultants.
  • Providing basic support with social media or website updates, such as preparing simple posts
Skills and Qualifications
  • Excellent written and verbal communication skills, including a professional and confident telephone manner.
  • Competency in Microsoft Office applications, particularly Word, Excel and Outlook.
  • Good IT literacy, including the ability to manage electronic filing systems and work confidently with digital documentation.
  • Previous administrative experience within a professional services environment.
  • Familiarity with tender submissions, including collating information and completing standard forms.
  • Experience using online planning portals or similar regulatory systems.
  • Experience supporting project administration, such as maintaining trackers or issuing information to consultants and clients.
  • Basic experience in preparing social media content or assisting with website updates.
