Adult Cardiorespiratory Enhanced and Responsive Service (ACERs) – Team Administrator, Band 3

An exciting opportunity has arisen for a dynamic, forward-thinking administrator to work within ACERS. The post holder will work within the Diagnostic Hublet and Pulmonary Rehabilitation teams in the ACERS service, supported by the ACERS Administration Lead. The post holder will deal with all administrative issues arising within the team such as clinic, transport and advocacy bookings, database inputting and maintenance, and answering telephone queries from patients. The post holder will be responsible for maintaining administrative systems and updating patient electronic databases related to ACERS Diagnostic Hublet and PR with support from the Administration Lead.

Responsibilities
  • Work within the Diagnostic Hublet and Pulmonary Rehabilitation teams in the ACERS service, supported by the ACERS Administration Lead. Manage administrative tasks such as clinic, transport and advocacy bookings, database inputting and maintenance, and answering telephone queries from patients.
  • Maintain administrative systems and update patient electronic databases related to ACERS Diagnostic Hublet and Pulmonary Rehabilitation with support from the Administration Lead.
  • Answer telephone calls in a timely and appropriate manner, passing on accurate messages and dealing with queries from clients, doctors and other health professionals.
  • Provide robust administration support to the Nurse Consultant, Nurses, Physiotherapists, Psychologists and Rehabilitation Assistants.
  • Work in a challenging socio-economic environment involving clients with highly complex social problems and those from culturally diverse backgrounds.
  • Provide the first point of contact for all clients and other health professionals, carry out initial screening of enquiries and appropriately prioritise them, communicating complex and sensitive information effectively with the clinical team.
  • Record accurate minutes for all team meetings and disseminate them through the team.
  • Independently register all new referrals to ACERS, including liaison with the clinical staff for prioritisation of clients.
  • Manage and maintain the integrity of the computerised patient database system in conjunction with other administration staff in the team.
  • Independently maintain and take responsibility for the client waiting list on the computerised database.
  • Independently monitor levels of stock, ordering as required to ensure stock remains at adequate levels.
