A luxury hotel resort in Spain is seeking a Food & Beverage Office Manager to ensure the smooth operation of the F&B office and manage communications. The ideal candidate will have a Bachelor's degree and at least 3 years of experience in a similar role within luxury hotels. Skills in MS Office and familiarity with hotel systems like MICROS and Opera are essential. This position offers an opportunity to contribute to wellness initiatives and uphold high service standards.

I will fully embrace, implement, safeguard and internally market the overall Wellness philosophy, concepts and programs such as Sleep With Six Senses, Eat With Six Senses and Grow With Six Senses platforms. All aspects of these wellness initiatives will be adopted and promoted throughout the human resources and training functions.

Duties and Responsibilities
  • Ensure the smooth and efficient administrative operation of the Food & Beverage office, supporting the Director of Food & Beverage and outlet managers in all daily tasks.
  • Manage incoming and outgoing communication, including phone calls, emails, and correspondence, ensuring all messages and information are accurately directed to the appropriate individuals.
  • Welcome visitors, suppliers, and hosts, handle their inquiries, and guide them to the right department or person according to their needs.
  • Prepare, organize, and maintain documents, correspondence, and reports, ensuring accuracy and alignment with company standards.
  • Maintain up-to-date filing systems — both electronic and paper-based — for records, correspondence, invoices, and other departmental materials.
  • Handle incoming and outgoing mail and ensure timely distribution and follow-up where necessary.
  • Draft and format internal communications, meeting notes, and routine correspondence with high attention to grammar, clarity, and brand tone.
  • Support in scheduling and coordinating departmental meetings, trainings, and appointments, ensuring all relevant materials are prepared in advance.
  • Assist in monitoring and controlling the department’s operational budget, ensuring expenditures remain within approved limits and cost efficiency is achieved.
  • Maintain awareness of all Food & Beverage outlets, their menus, promotions, and daily activities to provide accurate information and support.
  • Ensure that all administrative practices comply with company policies, procedures, and standards related to health, safety, fire, and emergency protocols.
  • Collaborate closely with the Finance, Human Resources, and Purchasing departments to ensure smooth administrative flow and compliance with internal processes.
  • Lead and manage the hostess and reservations team, ensuring seamless guest seating, reservations, and in-room dining coordination.
  • Uphold Six Senses standards, wellness-focused initiatives, and LQA requirements.
  • Attend meetings and trainings as required by F&B leadership.
  • Perform any additional duties as assigned by the Director of Food & Beverage or Assistant F&B Director.
Qualifications

To execute the position of F&B Office Manager, I have the required qualifications, technical skills and experience in a similar or greater role in luxury hotels with proven results. I possess a minimum of Bachelor’s degree and three year’s or more of experience in a secretarial role at a resort or hotel.

Technical skills include advanced MS Office – Word, Excel, PowerPoint and Outlook. I am also familiar with various hotel systems including MICROS and Opera.

I have an excellent command of written and spoken English and Spanish.
