Responsibilities
Your role as an Assistant will involve:
- Program and Faculty Support (30%)
- Act as the primary point of coordination between the Executive Vice Dean and the other Vice Deans of the school to ensure alignment of academic programs and operational priorities.
- Work closely with deputy area directors to coordinate schedules and track key academic deadlines, ensuring alignment with school-wide objectives.
- Support the Vice Dean of Undergraduate Programs in ensuring program quality by assisting in the development and monitoring of academic standards.
- Operational and Logistical Coordination (30%)
- Organize and manage the Executive Vice Dean’s schedule, including coordinating internal and external meetings, academic events, and business travel arrangements.
- Oversee logistics for academic and extracurricular events, such as conferences, guest lectures, and networking events.
- Manage relationships with external partners, service providers, and vendors, ensuring the successful execution of events, catering, travel, and other school-related services.
- Submit and reconcile expense reports for the Executive Vice Dean and other stakeholders as needed, ensuring compliance with budget and financial guidelines.
- Coordination Between Vice Deans (30%)
- Act as a liaison between the Executive Vice Dean and the other Vice Deans at the school, ensuring consistent communication and coordination on strategic initiatives, projects, and academic operations.
- Assist with the coordination and management of cross-departmental initiatives, providing support to the Vice Deans to drive the implementation of new academic programs, policies, and initiatives.
- Track progress on deadlines.
- Internal Communication (10%)
- Draft, edit, and circulate communications on behalf of the Executive Vice Dean to faculty, staff, and students.
- Prepare briefing notes, summaries, and internal updates to ensure clear and consistent messaging across the school.
- Support the preparation of presentations, reports, and newsletters that enhance transparency and engagement within the school.
- Act as a bridge for information flow between leadership and stakeholders, ensuring clarity, timeliness, and consistency of messages.
Qualifications
To thrive in this role, you should possess the following qualifications:
- Bachelor’s Degree or higher in a relevant field (such as Business, Education, or STEM disciplines).
- Proficiency in both English and Spanish (written and oral) is required.
- Minimum of 3-5 years of experience in a similar administrative or coordinator role, ideally within an academic or research environment.
- Strong organizational skills with a demonstrated ability to manage multiple priorities and deadlines effectively.
- Excellent interpersonal skills, with the ability to work effectively with faculty, students, and senior administrators.
- Experience in managing academic programs or supporting faculty and students is a significant advantage.
- Knowledge and experience with managing academic labs and coordinating logistical support for lab activities.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with other academic management software.
- Strong attention to detail, problem-solving skills, and the ability to work independently in a fast-paced environment.
- Ability to handle confidential information with discretion and professionalism.
