Overview

At Latitude Wellness, we're more than just a clinic, we're a team dedicated to supporting whole-person health in a calm, welcoming, and professional environment. We're currently looking for a warm, detail-oriented, and proactive Administrative Assistant to join our growing team.

This role is ideal for someone who thrives in a fast-paced, collaborative environment and is passionate about holistic wellness. You'll be the first point of contact for clients and play a vital role in ensuring smooth day-to-day operations, supporting our practitioners, and contributing to our clinic's presence online.

We're hiring for part-time positions, with potential to grow into a leadership role as our clinic continues to expand.

What You'll Do
  • Greet clients warmly and manage check-ins / check-outs, creating a calm and welcoming experience
  • Answer phone calls, emails, and inquiries professionally and knowledgeably
  • Schedule and coordinate appointments using JaneApp to optimize practitioner availability
  • Maintain accurate, confidential client records and support privacy compliance
  • Assist with billing, payment processing, and insurance submissions (ICBC, CVAP, FNHA, Telus eClaims, etc.)
  • Perform light accounting, inventory management, client follow-ups, and general admin duties
  • Coordinate internal team meetings and support day-to-day needs of practitioners
  • Assist with social media content creation and scheduling (Instagram, Canva, Later, Flodesk)
  • Help update the website and contribute ideas to marketing campaigns and promotions
  • Maintain a clean, organized, and professional front-desk environment
  • Participate in special projects and help improve systems as we grow
  • Other administrative duties as assigned
What We're Looking For
  • Experience in administrative, receptionist, or customer service roles, ideally in wellness or healthcare
  • Familiarity with JaneApp is an asset (but not required, we'll train the right person)
  • Strong multitasking and time management skills with attention to detail
  • Friendly, professional communicator—written and verbal—with great interpersonal skills
  • Comfortable with Google Workspace (Docs, Sheets, Gmail) , Microsoft Office
  • Creative eye and interest in managing social media and digital marketing tools
  • Experience with Canva, Flodesk, Later is an asset
  • Familiarity with insurance billing or claims submissions is a plus
  • Can work independently, take initiative, and also thrive in a collaborative team
  • Flexible, adaptable, and excited to contribute to a growing clinic
