Job Overview

We are seeking a dedicated and detail-oriented Medical Office Assistant to join our healthcare team. The ideal candidate will possess strong organizational and communication skills, with experience in administrative tasks within a medical office setting. This role involves supporting the daily operations of the office, ensuring efficient patient flow, and providing exceptional service to patients and staff alike.

Responsibilities
  • Manage front desk operations, including greeting patients and handling inquiries with professionalism and courtesy.
  • Maintain accurate patient records through effective filing and documentation practices.
  • Utilize multi-line phone systems to manage incoming calls, schedule appointments, and relay messages efficiently.
  • Assist with bookkeeping tasks, including managing invoices and vendor management.
  • Support human resources functions such as payroll processing and employee training & development initiatives.
  • Collaborate with team members to ensure smooth office operations and effective communication across departments.
  • Oversee clerical tasks such as data entry, correspondence, and maintaining office supplies inventory.
  • Implement organizational strategies to enhance workflow efficiency within the medical office environment.
Experience
  • Previous experience in a medical office or healthcare setting is preferred.
  • Supervising experience is a plus, demonstrating leadership abilities within a team environment.
  • Proficiency in QuickBooks or similar accounting software is highly desirable.
  • Strong administrative experience with an emphasis on clerical duties, filing systems, and office management practices.
  • Excellent communication skills, both verbal and written, with a focus on phone etiquette.
  • Proven organizational skills with the ability to manage multiple tasks effectively while maintaining attention to detail.
  • Familiarity with budgeting processes is beneficial for managing office expenses efficiently.
