Leasing Coordinator – Montreal, Quebec

The Leasing Coordinator provides day-to-day administrative support to, and assists in facilitating all leasing activities for the regional leasing team.

Responsibilities:
  • Provide administrative support, including typing all types of correspondence, completing reports, photocopying, scanning, opening tenant files, taking minutes if necessary and help coordinating meetings.
  • Keep track of various documents in circulation between departments, partners and tenants including but not limited to lease documents, offers, deal summaries and documents out for signature.
  • Support the leasing team with View The Space (VTS) from set up to inputting, updating and completion (Lease execution).
  • Review monthly leasing reports and ensure reports and VTS are accurate.
  • Collaborate with the leasing team and joint venture partners to ensure that leasing activity is being properly recorded.
  • Process all tenant allowances and brokerage fees for payment as well as track all progressive payments for same.
  • Track all critical dates, contractual waivers and leasing capital expenditures and draft corresponding letters for administrative approvals and sign offs.
  • Input leasing assumptions for the budget into JDE, run reports and ensure the accuracy of same.
  • Distribute, scan, organize and maintain all lease related documents including to the electronic filing system (M-files).
  • Complete credit checks for potential tenants.
  • Liaison with marketing and Property Managers for development/leasing signage on our sites as well as pylon signage for tenants.
  • Draft and distribute letters as required between parties.
  • Interact with joint venture partners as required.
  • In conjunction with the leasing team update and distribute the monthly lease expires report.
  • Assist with developing presentations for internal and external use.
  • Update site plans and the property fact sheets as required.
  • Coordinate leasing conferences and functions.
  • Other functions as required to facilitate the smooth operations of the leasing department.
Qualifications:
  • Minimum of 3+ years of experience in a similar role within a commercial real estate environment.
  • Proficient with lease documents and related documents, drafting experience and lease review is an asset.
  • Strong communication skills, both verbal and written.
  • Fluency in French and English
  • Proactive and highly organized with the ability to prioritize multiple tasks; must be able to work independently as well as to take direction from team members and supervisor.
  • Accuracy and attention to detail is critical.
  • Able to identify team and client needs and commit to responding to them in agreed upon timeframes.
  • Work well in a team environment and has a positive outlook and attitude.
  • Excellent grammatical and writing skills.
  • Must be proficient in Word, PowerPoint, Excel, Outlook.
  • Experience with JDE or equivalent software is preferred.
