Overview

Responsibilities
  • Leasing
    • Execute property management policies, procedures, and operations to FirstService Residential standards.
    • Participate in the full leasing process.
    • Maintain up-to-date knowledge of the portfolio (availability, vacancy, suite layouts, amenities, parking, etc.).
    • Conduct regular market research and provide input on pricing and strategy to maximize revenue and minimize vacancy.
    • Inspect vacant suites regularly to ensure Rent Ready condition.
    • Develop leads promptly (within three hours) with a goal of converting to personal tours.
    • Conduct personal tours outlining features and benefits of the area, property, and living at the property.
    • Review and approve rental applications within 1 business day according to guidelines from the Property Manager.
    • Verify income and references; conduct credit checks using YardiScreen.
    • Provide timely status updates to applicants; assist in securing security deposits within 48 hours of approval.
    • Generate and review leases with approved applicants; ensure leases are signed within 48 hours of deposits.
    • Follow up on all leads within 24 hours of last interaction.
    • Assist with managing renewal and retention programs, including pricing recommendations to the Property Manager.
  • Marketing
    • Assist Marketing with execution of property marketing and the leasing plan.
    • Provide input into pricing and strategy to maximize revenue and minimize vacancy.
    • Maintain up-to-date marketing materials and assist with open houses and community events to build relationships.
  • Customer Service
    • Maintain excellent resident relations through regular visits and timely handling of concerns to support long-term tenancies.
    • Address resident inquiries with a goal of 100% satisfaction and respond within 48 hours.
    • Foster a strong customer service culture within the team.
    • Ensure efficient move-ins and move-outs and manage recoveries diligently.
  • Administration and Reporting
    • Provide updated vacancy reports to the Property Manager as requested.
    • Issue notices (violation, notice to enter, termination) by approved method.
    • Review weekly vacancy and monthly reports.
    • Ensure compliance with the Residential Tenancies Act in all procedures.
    • Attend community events to build relationships within the community.
  • Office Management
    • Provide administrative support as required (courier, mail, etc.).
    • Maintain digital and physical filing systems in the office, Yardi, and MS Teams environment.
    • Maintain resident information in accordance with privacy regulations.
  • Additional Duties and Responsibilities
    • Adhere to FirstService Residential Global Service Standards and maintain high professional and ethical conduct.
    • Assist with operations to meet schedules; notify supervision of equipment or supply issues.
    • Participate in meetings/work groups to coordinate activities and stay informed of policies and guidelines.
    • Follow safety precautions and all policies/Standard Operating Procedures.
  • Health and Safety
    • Comply with applicable legislation (Residential Tenancies Act of Alberta, Alberta Labour Relations Code, Alberta Occupational Health and Safety Act, Alberta Fire Code, etc.).
    • Comply with public emergency directives and health and safety requirements, including regular drills.
    • Report hazards or infractions immediately.
  • Supervisory Responsibility
    • Indirect supervision of up to 3 team members.
Education and Experience
  • RECA License in Property Management not required but an asset.
  • Experience in retail leasing is an asset.
  • High school diploma; post-secondary education or industry experience required.
  • Knowledge of the Residential Tenancies Act required.
  • ARM/CPM designations are assets but not required.
  • Excellent customer service skills with at least five years of customer service experience.
  • Minimum three years of experience in a fast-paced office environment.
  • Intermediate MS Office skills; ability to learn new software; Yardi experience is an asset.

  • Positive, energetic attitude; able to work under pressure.
  • Strong interpersonal and communication skills; detail-oriented with problem-solving abilities.
  • Proven organizational capabilities and ability to meet deadlines.
  • 5th Class Operator’s License and a personal reliable vehicle required.
