YOUR FOCUS

Reporting to Senior Director, Service Transformation & Experience, the IT Purchasing & Lifecycle Strategist provides strategic coordination and oversight for IT purchasing and IT lifecycle processes. The role works in close partnership with UNB Procurement Services to prepare and coordinate procurement activities, including RFPs, RFIs, contract renewals, and licensing agreements. The Strategist also manages day-to-day relationships with IT vendors, monitors performance and compliance, and escalates issues to senior ITS leadership when required.

  • Identify the need for new RFPs or RFIs based on contract expirations, technology requirements, or supplier performance.
  • Gather ITS requirements, draft supporting content, and align inputs for Procurement Services to post and manage the formal tender.
  • Consolidate vendor questions and direct to appropriate ITS staff.
  • Act as the first point of contact with IT suppliers for day-to-day activities and clarify offerings, specifications, address delays, and adjust orders as needed.
  • Escalate pricing discussions, contract terms to senior ITS leadership and Procurement Services for final negotiation and execution.
  • Coordinate enterprise license renewals by engaging departments/users, confirming needs, consolidating requirements, and obtaining financial approvals.
  • Track usage, prepare renewal documentation, and provide cost/benefit analysis of contract options.
  • Work with Procurement Services and senior ITS staff to ensure timely, compliant renewals.
  • Oversee the Evergreen lifecycle process, ensuring hardware and software assets are accurately tracked, refreshed, and decommissioned on schedule.
  • Consolidate order data for bulk pricing and present options to senior management.
  • Audit and monitor ITS-held inventory and IT assets and work with On-site IT Support staff to ensure UNB IT lifecycle and asset inventories are maintained in the ITAM system.
  • Prepare requisitions, purchase orders, and invoices.
  • Maintain organized records of procurement and licensing activities.
  • Support budget preparation, expenditure tracking, and reporting.
  • Serve as backup for the ITS Order Expeditor during absences and peak periods.
  • Provide general administrative support to ensure the smooth day-to-day operations including answering calls, receiving and signing for courier deliveries and handling daily mail.
  • Respond to inquiries with accurate, timely information and clarifies requests to ensure alignment with ITS standards and purchasing processes.
  • Communicate proactively with stakeholders regarding order delays, substitutions, or exceptions, and manage expectations.
  • Assist in preparing content updates for ITS communication channels.
  • Identify recurring issues or service bottlenecks and recommend procedural improvements to enhance efficiency, service quality, and client satisfaction.
  • Assist with general office upkeep and support other administrative tasks as assigned.
What You Bring
  • Undergraduate degree in business administration, supply chain management, information technology, or a related field.
  • 6- 8 years progressive experience in procurement and/or project management.
  • An equivalent combination of education and directly related experience may be considered.

  • Familiarity with university purchasing policies and public sector procurement guidelines is an asset.
  • Initiative and curiosity to learn about new technologies and evolving IT standards.
  • Contract negotiation experience.
