Finance Administrator

JOB TYPE: Full-Time, Permanent

LOCATION: Grande Prairie, Alberta

WAGE RANGE: $23.00-$25.00/hour

The Agency is assisting Royal LePage The Realty Group Property Management in the recruitment of a full-time Finance Administrator to join their team. At Royal LePage, they take pride in providing exceptional service to property owners, tenants, and the community.

JOB SUMMARY

In this pivotal role, the Finance Administrator will ensure the smooth financial operations of Royal LePage Property Management. The ideal candidate will possess outstanding organizational skills and the ability to handle sensitive financial matters with professionalism and confidentiality. This position involves regular communication with tenants, team members, and property owners to address financial obligations, outstanding payments, and rental‑related inquiries.

RESPONSIBILITIES
  • Process tenant payments, handling various methods including pre‑authorized debits (PAD), e‑transfers, and debit/credit card transactions
  • Prepare reports and reconcile accounts using Propertyware for daily banking tasks
  • Process non‑sufficient funds (NSF) payments, update tenant ledgers, and maintain the delinquent accounts report
  • Allocate utility bills and manage recoveries for tenants and properties
  • Prepare and manage security deposit reports, ensuring compliance with legal and company timelines
  • Generate and distribute monthly rent receipts to tenants
  • Contact tenants regarding outstanding rent, returned payments, or move‑out charges
  • Establish and follow up on payment arrangements with delinquent tenants
  • Prepare and issue delinquency notices, collection letters, and reports for RTDRS (Residential Tenancy Dispute Resolution Service) proceedings as needed
  • Communicate with property owners about tenant accounts, balances, and payment updates
  • Update lease renewals in financial and banking systems
  • Support end‑of‑month reporting and prepare documentation for audits
  • Collaborate with other departments to ensure accurate financial reporting for tenants and property owners
REQUIREMENTS
  • Diploma or degree in Finance, Accounting, or a related field is preferred
  • At least 2 years of experience in finance, property management, or administrative roles
  • Familiarity with financial software such as Propertyware and RBC Express is a strong asset
  • Excellent verbal and written communication skills
  • Strong problem‑solving abilities and attention to detail
  • Ability to manage sensitive financial matters tactfully and professionally
  • Proficiency in Microsoft Office Suite and Google Workspace particularly Excel/Google Sheets
  • Organized and able to multitask in a fast‑paced environment
