Position: Executive Assistant, Council and Committees

Job Title : Executive Assistant, Council and Committees

Employer : BC Nurses' Union

Status : Excluded Full-Time

Starting : September / October 2025

Salary : $70,000 to $80,000 plus an annual premium

Posting Period : Open until filled

Position Overview

This is a fast-paced, high-level position within the executive office at the BC Nurses’ Union. The incumbent is responsible for providing administrative support for the Council Board and their committees to enable Council to efficiently and effectively fulfill their governance responsibilities. This role requires multi-tasking, meeting deadlines, and may involve irregular and / or long hours prior to and during events. The Executive Assistant must handle ambiguity with diplomacy and professionalism, communicating with staff, senior BCNU leadership, elected member representatives and external contacts. Confidentiality and discretion are critical.

Key Responsibilities
  • Perform administrative duties for the Council Board and Committees, including calendar management; producing documents (correspondence, spreadsheets, presentations); arranging meetings, travel, accommodation, and catering; processing Board development requests and invoices; and administering BCNU member funds if needed.
  • Collaborate with the President and key staff to plan Council meetings, including creating and distributing the Board package in a timely manner.
  • Attend Council meetings as primary staff support, ensuring in-person and virtual components run smoothly.
  • Take and prepare meeting minutes and follow up on action items per established processes.
  • Provide support to Council committee meetings, ensuring records are kept and filed.
  • Establish administrative systems and processes; implement improvements to accommodate new and anticipated requirements.
  • Organize and maintain Council documents (Board calendar, minutes, action registries, Committee lists, terms of reference, and related materials).
  • Assist with onboarding new Council members and planning Council education sessions.
  • Research venues for Council functions as needed.
  • Attend union functions as required to ensure smooth operation (e.g., BCNU Convention).
  • Assist with projects or events related to Council as required.
  • Maintain respectful, collaborative relationships with board members, senior leadership, staff, members and external contacts; protect confidentiality and exercise discretion.
  • Support elected officials or senior executives with coordinating or administering organizational initiatives as needed.
  • Work collaboratively with other Executive Assistants and provide backup as assigned.
  • Travel for Council and related meetings as necessary, and perform other related duties as assigned.
Candidate Qualifications
  • Five years’ progressive experience supporting senior-level executives; experience with a large Board, various committees, and / or government officials is an asset.
  • Proficiency in minute taking, including follow-up on action items.
  • Professionalism, tact, diplomacy, and discretion when handling sensitive or confidential issues.
  • Excellent interpersonal skills; ability to establish and maintain effective working relationships at all levels; adaptable team player.
  • Effective verbal and written communication skills.
  • Ability to manage high volumes of correspondence; ability to research, summarize, format and index information.
  • Strong organizational and time management skills; ability to prioritize, meet deadlines, and work under pressure.
  • Attention to detail and accuracy; proactive, solutions-focused mindset.
  • Advanced technical skills, including MS Office; aptitude to learn new software; experience with Board management tools (e.g., Board Effects) is an asset.
