Executive Assistant

We are seeking a seasoned Executive Assistant to support our nonprofit client in an interim role.

This role involves providing direct executive support for daily operations, collaborating across departments, and managing communication and scheduling tasks. Responsibilities include supporting policy and communication efforts, scheduling meetings, taking minutes, managing calendars and emails, liaising with board members, and handling boardroom administration. You will also monitor correspondence, track expenses, and assist with special projects.

Responsibilities include :

  • Act as a point of contact for stakeholders, managing correspondence with professionalism and high attention to detail;
  • Organize and attend meetings, take minutes, and follow up on action items;
  • Prepare meeting materials, presentations, and briefs;
  • Arrange and coordinate travel plans for executives, including flights, accommodations, and transportation;
  • Previous experience managing board governance functions is an asset.

Qualifications :

  • 5+ years of experience supporting C-Suite executives and flexible working hours to attend meetings as needed;
  • Ability to work under pressure, prioritize tasks, and meet deadlines;
  • Strong critical thinking, problem-solving skills, discretion, and judgment;
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel), OneDrive, and SharePoint;
  • Flexibility to work onsite or remotely as required.
