Executive Assistant — Ottawa

StrategyCorp Inc. is seeking a motivated Executive Assistant in our Ottawa location.

The Executive Assistant is someone who is passionate about public policy and government relations and enjoys managing multiple tasks and priorities in a fast‑paced environment. Their primary role will be supporting the assigned Principals and practice team, assisting with a variety of tasks related to both current clients and business development. They will also be responsible for general office management duties.

Responsibilities
Principal Support Responsibilities
  • Keeping Sr. Management calendars up-to-date, including adding events, rescheduling appointments and providing daily briefings
  • Manage travel bookings including flights, hotel and transportation
  • Management of timesheets, expenses and other finance related activities
Practice Support
  • Assisting Practice Group Head with team resourcing and monitoring of workloads
  • QA & formatting of reports and proposals on various topics based on the needs of the group
  • Supporting document preparation, including printing and delivery of proposals
  • Maintain and develop the website & qualification library for the group
  • Organizing onboarding and off boarding of consultants
  • Support Sr. Advisors onboarding, timesheets, ad hoc requests and invoicing
  • Planning and organizing group events that take place externally and internally, such as client lunches, meetings and appreciation events
  • Performing a variety of administrative task deemed necessary to support the group
  • Maintaining a high degree of discretion and confidentiality
  • Back up on Lobby Registration
  • Variety of office management duties, including maintenance of office and kitchen supplies, working with building maintenance and security and general upkeep of office environment
What will you contribute?
  • Degree or Diploma in Administration or equivalent, with 3 - 5 years relevant experience.
  • Superior verbal communication and professional writing skills
  • Strong attention to detail and excellent organizational skills
  • Self-motivated and resourceful – able to solve problems, make decisions in a timely manner, and go above and beyond the call of duty
  • Ability to work with and protect highly sensitive, confidential information
  • Comprehensive knowledge of MS Office tools
  • Strong project management skills and ability to multi-task
  • Teamwork and communications abilities to work with many people at all levels to coordinate assignments
  • Excellent written and spoken English, with ability to correct grammar, spelling, and narrative flow
  • Bilingualism (French) an asset
