We’re growing quickly and looking for a Client Project Coordinator who can connect people, process, and performance across multiple projects at once.

Role Overview

As Client Project Coordinator, you’ll serve as the organizational engine behind our client engagements - managing timelines, deliverables, and communications across teams.

You’ll translate vision into structure: helping our leadership, strategy, and sales teams stay aligned while ensuring every client interaction feels professional, proactive, and effortless. You will work with teams to complete client reporting documents and be the glue that keeps things together.

This is an ideal role for someone with 1–3 years’ experience in an agency, consulting, or fast-paced professional services environment who thrives on clarity, organization, and client success.

Key Responsibilities
Client & Project Management
  • Lead client onboard - gathering brand assets, invoicing details, and ensuring all documents and forms are completed accurately.
  • Create and maintain project plans in Asana (tasks, subtasks, dependencies, timelines).
  • Oversee team and client file management to ensure all deliverables, reference materials, and working documents are properly organized.
  • Track project progress, flag bottlenecks, and coordinate with internal teams to keep deliverables on schedule and within scope.
  • Prepare status reports, summaries, and agendas for client check-ins or internal reviews.
Cross-Functional Collaboration
  • Act as a central communication hub between sales, operations, creative, and finance.
  • Support the sales team through research, lead preparation, CRM updates (Pipedrive), and material development.
  • Assist with valuation and reporting deliverables, ensuring data accuracy and formatting alignment with client expectations.
  • Collaborate with leadership to continuously improve internal SOPs, workflows, and project templates.
Client Success & Quality Assurance
  • Monitor client satisfaction through proactive communication and follow-up.
  • Ensure BWA’s quality standards and brand guidelines are consistently applied across deliverables.
  • Maintain meticulous records of correspondence, approvals, and scope changes.
Operational Support
  • Contribute to process improvement initiatives - identifying opportunities for automation, better visibility, or faster reporting.
  • Support branding and marketing projects when needed - assisting with presentations, case studies, or internal collateral.
What You’ll Bring
Experience & Technical Skills
  • 1–3 years in project coordination, account management, or client services within an agency, consultancy, or marketing environment.
  • Familiarity with project management tools (Asana preferred).
  • Working proficiency with Google Workspace (Docs, Sheets, Slides, Drive) and Slack.
  • Bonus: experience with CRM systems (Apollo.io, Pipedrive, or similar) and reporting dashboards.
  • Strong written and verbal communication - clear, professional, and client‑ready.
  • Proven ability to manage multiple concurrent projects and deadlines.

Compensation & Structure
  • Role Type: Full Time
  • Location: Remote
  • Base: Competitive and commensurate with experience (TBD).
  • Bonus: Commission and performance‑based incentives tied to client success metrics and overall delivery excellence.
  • Contract Type: Independent Contractor arrangement with potential path to full‑time or leadership role. Term 1 Year w/ Option to Extend.
