Position Summary
The Property Maintenance Manager is responsible for the overall maintenance operations of a large residential portfolio comprising approximately 1,100 apartment units. This role provides leadership and direction to a team of ~20 maintenance staff, ensuring buildings, grounds, and systems are maintained to high standards of safety, efficiency, and resident satisfaction. The Manager oversees preventive maintenance programs, capital repairs, emergency response, vendor management, and regulatory compliance while controlling costs and optimizing performance.
Key Responsibilities
Leadership & Team Management
- Lead, supervise, and develop a team of approximately 20 maintenance technicians, trades, and supervisors
- Schedule staffing and on-call rotations to ensure 24/7 emergency coverage
- Conduct performance reviews, coaching, training, and disciplinary actions as required
- Promote a culture of safety, accountability, and customer service
Maintenance Operations
- Oversee daily maintenance operations across all residential buildings and common areas
- Ensure timely completion of work orders, unit turnovers, and emergency repairs
- Develop and execute preventive maintenance programs for HVAC, plumbing, electrical, life‑safety, elevators, and building systems
- Coordinate seasonal maintenance (heating/cooling changeovers, snow removal, landscaping, etc.)
Capital Projects & Repairs
- Plan and manage capital improvements and major repairs (roofing, boilers, building envelope, common areas)
- Coordinate with internal teams, consultants, and contractors to deliver projects on time and within budget
- Monitor quality of work and ensure compliance with specifications and safety standards
Budgeting & Cost Control
- Prepare and manage the annual maintenance operating budget
- Track expenses, approve invoices, and identify cost‑saving opportunities
- Negotiate and manage service contracts and vendor relationships
Compliance & Safety
- Ensure compliance with all applicable building codes, fire/life‑safety regulations, health & safety legislation, and environmental standards
- Maintain accurate maintenance records, inspections, and certifications
- Lead safety meetings, enforce safe work practices, and investigate incidents
Resident & Stakeholder Relations
- Work closely with Property Management to address resident concerns and service requests
- Ensure a high level of resident satisfaction through responsive and professional service
- Communicate maintenance plans, shutdowns, and project timelines effectively
Qualifications & Experience
- Minimum 5–8 years of progressive experience in residential or multifamily property maintenance
- 3+ years in a supervisory or management role overseeing large teams
- Experience managing large portfolios (500+ units) strongly preferred
- Strong technical knowledge of building systems (HVAC, plumbing, electrical, fire systems)
- Experience with capital projects and vendor management
Education & Certifications
- Trade certification or technical diploma preferred (e.g., HVAC, Electrical, Plumbing)
- Building Operator Certification (BOC), PMP, or similar is an asset
- Valid driver’s license
