Job summary

As an Administrative Assistant you will provide direct administrative support in our Assurance practice to Partners, Managers and clients. The Assurance team relies on you to help ensure operational excellence and you will be a front-line contact for clients and a liaison for colleagues.

Responsibilities
  • Assist assurance practitioners in efficiently managing their growing practices.
  • Contribute to fostering a positive team culture by identifying opportunities to enhance work methods and relationships.
  • Proactively identify and address challenges before they escalate.
  • Follow up on action items and tasks to ensure completion.
  • Efficiently manage electronic and paper-based client files, including filing, faxing, scanning and photocopying.
  • Handle sending and receiving e-documents through secure file transfer platforms with confidentiality.
  • Facilitate direct liaising with current and potential clients, CRA and other agencies as required.
  • Proofread and edit reports and correspondence on behalf of Partners and Managers.
  • Arrange, participate in, and take notes at meetings and conference calls; prepare materials, agendas, and presentations.
  • Coordinate calendars, travel arrangements, room bookings, catering, equipment and reports/documentation.
  • Actively contribute to the wider Administrative Team and support on client deliverables as needed.
Qualifications
  • 3–5 years of administrative experience in a busy professional services environment with multiple projects and tight deadlines.
  • Diploma or certificate in administrative assisting is an asset.
  • High attention to detail and ability to produce high-quality work.
  • Proven ability to work independently and collaboratively across teams.
  • Strong initiative, continuous improvement mindset and openness to feedback.
  • Customer-centric mindset and professional business etiquette.
  • Ability to balance multiple priorities and deadlines; strong organizational skills.
  • Solid business acumen, pragmatism and problem-solving skills.
  • Excellent verbal and written communication; strong proofreading and formatting skills.
  • Strong MS Word, Excel and PowerPoint skills; CRM experience is an asset.
  • Willingness to work overtime periodically (typically March–June).
