Event Producer – Registration Lead

Responsibilities
- Event project management focused on the Registration area: client interface, reporting, contact and management of internal and external suppliers, ensuring quality and client satisfaction, and commitment to deadlines with the team and client.
- Development of presentations (English, Portuguese and Spanish) and reports in PowerPoint; interaction and information flow with the team and client.
- Responsible for all Registration‑area matters: floorplans, staffing needs, production schedule, badge pickup and help‑desk areas.
- Ordering and securing equipment for badge pickup and help‑desk areas (lanyards, lanyard trees, trash cans, office supplies, lost & found, shred bins, etc.).
- Developing playbooks, production schedules and training documentation for the badge pickup workstream.
- Advising on ambassador staffing needs and signage plans for badge pickup areas.
- Coordinating the registration platform on shipping logistics to ensure on‑time arrival of equipment.
- Managing the session scanning workstream: compiling session‑scanning matrices, gathering ancillary event scanning needs, leading onsite session quality control with content and registration platform teams.
- Overseeing onsite badge pickup operations on setup day and event day.
- Pairing with the PM Master and other workstream leads; responsible for Registration area on three events (SP, BOG and CDMX).
- Managing quotes and internal MCI processes.
- Developing and executing the event operation plan.
- Organising and managing operations processes (schedules, check‑lists, cash flow).
- Negotiating with vendors and managing deadlines to ensure successful delivery.
- Training and leading on‑site freelancers.
- Using tools such as Airtable and Planner for task and schedule management.
- Providing suggestions and ideas to improve the project while respecting standards.
- Assisting in building and organising the operational perspective of the event.
Job Requirements
- Experience in events management, planning and production, preferably corporate events.
- Experience in Registration management.
- Proficiency in Excel spreadsheets and PowerPoint presentations.
- Advanced English and Spanish – able to conduct meetings and build presentations in both languages.
- Process‑oriented and highly organised, committed to schedules and deadlines.
- Knowledge of planning tools such as Planner.
- Lead vendor interaction and negotiation (expo and branding perspectives).
- Contract as PJ (salary + perks). Start in May.
- Home office with at least two meetings per month in the office (Morumbi region).
- Willingness to be on site during visits and event days.
