POSITION PURPOSE

Working within the Sales team, this position has responsibility for responding to all Group and Event enquiries in order to maximize revenue & utilization of meeting space, working to ensure, at a minimum, delivery of budgeted revenues. The EBC Executive will manage and convert all business, including contracting, in addition to managing group room and function diary inventory.

ESSENTIAL FUNCTIONS

1. Ensure correct application of Group Enquiry Form procedure. Timeline for response back to client is defined by client expectations, which will vary for each request and must be confirmed with client at time of enquiry. (Standard response time is within 24 hours of receiving enquiry)
2. Develop a good knowledge of Opera and other Marriott systems in order to be competent in monitoring and evaluating availability.
3. Identify operational limitations and sell only what we advertise and can effectively manage operationally.
4. Set traces for every enquiry after a maximum of 24 hours & ensure trace report is completed on a daily basis.
5. Compile Contracts for all Group and Events associated business for authorized Hotel signatory.
6. Work closely with the Corporate Sales Team to action enquiries and convert business.
7. Actively use MI LEADS as a means of referral, achieving agreed targets & work to exceed preset targets.
8. Acquire full knowledgeable understanding of MI LEADS program.
9. Cooperate with the finance department in preparing the invoice of groups & events and review the invoice with the client wherever that is possible.
10. Monitor and update external (online) lead channels such as OneSource/SFA, MI LEADS, and C-vents at all times.
11. Attend daily events briefing providing accurate updates on details of bookings and enquiries.
12. Attend weekly Business On the Books meeting chaired by the Account Director – Groups & Events.
13. Ensure tentative business block information is updated on a weekly basis & provide accurate updates to the Account Director – Groups & Events to present at the revenue strategy meeting.
14. Provide regular updates in Opera on specific bookings within the 30/60/90 timeframe to assist Revenue Manager in accurate forecasting.
15. Effectively manage time ensuring the completion of all pre-set tasks on a daily basis.
16. Participate in departmental and Marriott courses as required.
17. Conduct site inspections in a methodical fashion adhering to the core standards of the department.
18. Demonstrate an awareness of the importance of body language in communication and interaction with others.
19. Take part in special projects as directed by the Account Director – Groups & Events.
20. Ensure that the Events generic email inbox is timely managed.

SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES

1. Minimum of 3 years operational working experience in hotel.
2. Able to multi-task and work with deadlines under high pressure.
3. Excellent communicator and listener.

EDUCATION

Bachelor degree required.
