Overview
Property Operations & Tenant Management – The Retail Property Supervisor is responsible for the day-to-day management and supervision of retail properties, ensuring smooth operations, tenant satisfaction, facility maintenance, safety, and compliance. This includes overseeing on-site staff, coordinating vendors, conducting inspections, supporting leasing activities, and maintaining records to optimize the operational efficiency and overall value of the retail assets.
Responsibilities
- Supervise and oversee daily operations of assigned retail properties, ensuring a clean, secure, and welcoming environment for tenants and visitors.
- Serve as the main point of contact for tenants regarding maintenance requests, facility issues, and general inquiries; ensure prompt resolution and maintain high tenant satisfaction.
- Conduct regular property inspections of retail units, common areas, and building systems; identify and report maintenance issues, safety hazards, or needed repairs.
- Coordinate and monitor all on-site maintenance, cleaning, security, and service vendor activities to ensure adherence to company standards and service agreements.
- Support leasing activities by preparing vacant units for occupancy, assisting with property tours, and coordinating tenant move-in/move-out processes.
- Maintain accurate records of maintenance activities, inspection findings, work orders, vendor invoices, and tenant communications in the property management system.
- Assist with the implementation of health, safety, and security protocols, ensuring all legal and regulatory requirements are met.
- Supervise and guide on-site support staff (cleaners, maintenance, security, etc.), ensuring effectiveness and professionalism in all duties.
- Report urgent issues and incidents to the Retail Property Manager and support with incident investigations, escalations, and follow-ups as needed.
- Monitor and support the property’s preventative maintenance schedule, ensuring timely execution and reducing potential disruptions.
- Contribute to tenant engagement initiatives and events, fostering a sense of community and enhancing tenant retention.
- Assist the property management team with the preparation of occupancy, incident, and maintenance reports.
- Stay updated on best practices in retail property facility management and proactively suggest improvements to operational processes.
Qualification
Education – Diploma or Bachelor’s degree in Property Management, Facilities Management, Business Administration, or a related field preferred.
Certifications – Certification in property or facilities management is an advantage.
Experience and Competencies
- 2-4 years of experience in retail property supervision, facilities management, or a related role.
- Sound understanding of retail property operations, maintenance requirements, and tenant relationship management.
- Strong customer service focus and communication skills.
- Good organizational and record-keeping abilities.
- Ability to identify and resolve facility and operational issues proactively.
- Leadership skills and ability to supervise on-site teams effectively.
- Proficiency in MS Office and property management software.
- High level of reliability, professionalism, and team collaboration.
