The Food & Beverage Administrator is responsible for coordinating administrative tasks and projects within the Food & Beverage team, providing administrative support while ensuring compliance with Hilton International policies and procedures.
What will I be doing
As the Food & Beverage Administrator, your responsibilities will include:
- Maintaining high customer service standards by prioritizing guest satisfaction.
- Taking initiative to resolve issues promptly and communicating effectively with customers and colleagues.
- Approaching tasks with enthusiasm, seeking opportunities to learn and improve personal performance.
- Responding flexibly to changing requirements and tasks.
- Supporting team cooperation and contributing ideas to enhance operations and environmental procedures.
- Promoting the hotel’s services and facilities to guests and suppliers.
- Ensuring safety in all duties performed.
- Preparing daily function sheets and coordinating food and beverage activities for briefings.
- Managing team member inquiries regarding holidays, vacations, and medical records.
- Handling attendance records, leave, transport allowances, and claims, with managerial approval.
- Maintaining personnel records including addresses, salaries, and ID information.
- Tracking productivity, overtime, and labor hours.
- Monitoring weekly duty rosters and managing shift changes or leaves.
- Writing work orders and coordinating with engineering for maintenance tasks.
- Managing office requisitions for supplies and stock items.
- Drafting and following up on correspondence and memos.
- Participating in meetings, recording attendance, and distributing minutes.
- Handling inter-departmental requests and cake orders.
- Organizing discussions on employee progress reports and translating when needed.
- Checking timecards for lateness, absences, and leaves.
- Managing mail collection and filing systems.
- Performing other duties as assigned.
What are we looking for
The ideal candidate will possess:
- A university degree, college certificate, or secretarial training.
- At least 12 years of experience in a similar role.
- Fluency in English and familiarity with Food & Beverage terminology.
- Computer literacy, including word processing and spreadsheets.
- Strong organizational, interpersonal, and communication skills.
- Fast and accurate typing skills.
- Experience in line operations management and labor-related functions is preferred.
