Job Description and Requirements

Mission

Support in analyzing, organizing, and managing document management processes and activities according to Saipem procedures. Monitor resources and interface with Document Controllers, Function Representatives, and Document Service Assistants involved in the project on Document Management topics. Ensure knowledge transfer and preservation of Document Management topics across Saipem.

Tasks

  • Support the organization and logistic analysis of the project, including analysis of all involved entities.
  • Assist in defining the Project Document Management Process and setup project progress calculation.
  • Control and monitor the client approval process and document submission to the client.
  • Support in organizing and managing the final project documents handover to the client.
  • Transfer, preserve, and maintain Document Management knowledge.
  • Ensure the maintenance and compliance of Document Management methodology and procedures, preparing relevant project procedures.
  • Assist in organizing and controlling reports.
  • Provide Help Desk support for Document Management tools.
  • Organize Document Register and Master Data List activities.
  • Ensure training and assistance on project document management topics, including remote sites.
  • Support the Project Manager and Risk Owners in minimizing risks and maximizing opportunities.
  • Control progress calculation, document list status, workflow, internal distribution, transmittals, etc.
  • Upload project templates and contractual documentation into the system.
  • Assist in workflow management and document distribution.
  • Link documents to activities, purchase requests/orders, plant structures, etc.
  • Ensure the formal correctness of documentation.
