Mission:

The mission of the Project Manager at Formula D_ is to lead and oversee the successful execution of immersive exhibit and visitor experience projects. This role demands meticulous planning and coordination to ensure that every project is delivered on time, within budget, and to the highest quality standards. By leveraging cutting-edge media technology and adhering to our mission of advancing the UN Sustainable Development Goals, the Project Manager will drive the creation of impactful and educational experiences for museums, science centers, and other attractions internationally.

In this role, the Project Manager will cultivate a collaborative and efficient work environment, managing both internal teams and external partners, including freelancers, contractors, and suppliers. With a keen focus on risk management and continuous process improvement, the Project Manager will ensure seamless communication, resource allocation, and adherence to project plans. Their leadership will be instrumental in fostering a culture of excellence, innovation, and dedication, ultimately contributing to the company's vision of designing experiences that matter.

Accountabilities & Metrics:

  1. Develop Comprehensive Project Plans: Create detailed project plans for all new projects within two weeks of project initiation.
    • 100% project plans developed and approved by management and clients before commencement.
  2. Resource Allocation and Management: Allocate resources for all projects within the first week of project approval and adjust weekly as needed.
    • Maintain a resource capacity utilization rate of at least 80% across all projects.
  3. Budget and Timeline Tracking: Implement and use a project tracking system to monitor project timelines and budgets in real-time.
    • Ensure 95% of projects are completed within 5% of the initial budget estimates.
  4. Risk Identification and Management: Identify potential project risks early and develop contingency plans to mitigate them.
    • Reduce project delays by 20% through proactive risk management.
  5. Team Leadership and Collaboration: Manage internal teams, freelancers, contractors, and suppliers to achieve project objectives.
    • Conduct weekly cross-functional meetings with 100% attendance from relevant teams.
  6. Client and Management Reporting: Develop and distribute detailed project status reports bi-weekly to management and clients.
    • Achieve a 95% on-time delivery rate for project status reports.
  7. Process Improvement: Identify and implement at least 5 process improvements per quarter to enhance project management efficiency.
    • Increase the on-time project completion rate by 15%.
  8. Communication and Stakeholder Engagement: Ensure effective communication protocols are in place and adhered to by all project stakeholders.
    • Achieve a 90% satisfaction rate from internal teams and clients on project communication effectiveness.

Key Criteria/Requirements:

  1. Educational Background: Ideally, a degree in Project Management, Business Administration, or a related field.
  2. Relevant Work Experience: Minimum 10 years of experience in project management, particularly in the design or exhibit industry.
  3. Project Management Skills: Proficiency in project management software (e.g., Monday.com), excellent organizational and communication skills, proven leadership skills, ability to prioritize tasks effectively, and high attention to detail.
  4. Technical Knowledge: Knowledge of design processes, experience with human resource planning tools/software, and ability to interact with a range of internal and external stakeholders.
  5. Personal Attributes: Self-motivated and driven to succeed, ability to keep calm and focused under pressure, high emotional intelligence (EQ), assertive and positive communicator, and a commitment to consistency and excellence.
