Ricoh South Africa is recruiting for the position of Payroll Administrator. The successful incumbent will be responsible all payroll-related administration and input. Update employee information and communicate with employees regarding general payroll queries, changes in salary, benefits, etc.

Responsibilities
  • Load new employees and ensure that all information is loaded on the different modules
  • Complete all input sheets accurately and submit to the Payroll Partner
  • Prepare and submit monthly leave provision report
  • Prepare journals for monthly payroll expenses
  • Manage fuel cards and the system
  • Terminate employees on VIP and at the same time cancel Medical Aid, etc.
  • Ensure that exit paperwork is correct and that the process is followed
  • Answer and clarify employees on payroll related inquiries.
  • Complete forms for Provident fund i.e. withdrawal, death, retirement, funeral
  • Keep track of staff movements and compile letters for long service, career changes & increases
  • Advances & payments via EFT
  • Makes necessary amendments to leave management system (ESS) and support with leave queries
  • Monthly allocated scanning on the filing system
  • Ensure all payroll related data is stored on the DocuWare platform
  • Monthly reconciliations of salary control accounts
  • Monthly third-party reconciliations: Medical Aid, Provident fund & other payroll related recons
  • Quarterly reconciliations of payroll expense accounts (GL)
  • Provide monthly headcount data and payroll related data for HR monthly management report
  • Ensure smooth running of the VIP software on a monthly basis
  • PAYE Submissions
  • Mid and Year-end reconciliation on IRP5s
  • Ensure accurate and timely submission of all monthly and annual statutory payroll payments and returns in compliance with legal requirements
  • Complete stats required from Central Statistics quarterly
  • Assist with VIP Leave ESS password reset and training
  • Compile bonus/salary increase schedule and annually
  • Compile the HR budget annually
  • Compile cost to company proposals i.e. new employees, company vehicles etc.
  • Submit HR invoices for payment
  • Manage the termination process & complete UIF forms, maternity documents, ill-health forms including dismissals and retrenchment processes
  • Compile offers and contracts for new employees when requested
  • Create personal files for all new starters and record and maintain all HR electronic files
  • Attend to all HR tickets on the system (iPeople 2.0)
  • Keep the Human Resources internal systems up to date such as iPeople & VIP ESS
Qualifications
  • Grade 12 or equivalent
  • Five plus years’ experience in a Payroll function (Global company experience will be an advantage)
  • Excellent MS Word & Excel skills
  • Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system
  • Ability to maintain confidentiality and exercise extreme discretion
  • Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
  • Need to be understanding, patient and good at listening
  • Strong organisational skills, and the ability to work under pressure
  • Excellent numeracy skills
  • Ability to handle and prioritise multiple tasks and meet all deadlines
  • Must be meticulous and customer centric
